Position Purpose and Responsibilities:
This position's primary role is to answer phones, assist callers, greet guests, manage mail and other office duties. This position will also provide assistance to the EVP of the company who oversees all business operations and legal affairs for the company. The position requires excellent interpersonal skills, including superb listening skills and the ability to communicate professionally, articulately, succinctly and tactfully via email, phone and face to face. The ideal candidate must be prepared to assist in all matters.
Key Accountabilities:
General Office:
Answering incoming phone calls, transferring, conferencing and assisting callers;
Manage filing;
Welcome guests and validate parking;
Maintain cleanliness and order of the front desk, guest reception area and kitchen;
Manage mail and packages;
Manage kitchen and office supply inventory;
Coordinate with IT support for office equipment repairs;
Liaise with building management and vendors to coordinate certificates of insurance;
Uploading documents/contracts
Administrative/Executive Assistant:
Assist EVP as requested; and
Other job related duties as may be assigned.
Requirements:
Required Knowledge, Skills & Traits:
Honesty, reliability and trustworthiness are crucial;
Personable with an ability to maintain a positive attitude at all times;
Ability to exercise discretion when dealing with confidential matters;
Exceptional time management and prioritization skills;
Excellent interpersonal skills, including ability to communicate professionally, articulately, succinctly and tactfully with a wide range of people via email, phone and face to face; and
Excellent computer proficiency including use of Microsoft Office.
Education and Experience:
High school diploma; bachelor's degree preferred with a strong academic record; and
1-2 years receptionist or administrative experience in a professional business environment preferred.
Work Environment:
While performing the duties of this job, the employee will work primarily in an office environment. The noise level in the work environment is usually moderate.
Physical Demands:
While performing the duties of this job, the employee may be prone to sitting for lengthy periods of time. The employee is regularly required to type, talk or hear. The employee is frequently required to stand, walk, sit; use hands to finger, handle, or feel; and reach with hands and arms. Occasionally required to hear objects, tools, or controls. Specific vision abilities required by the job include close vision. Lifting requirements may be required to lift and/or move up to 10 lbs. Travel is not required.
