Job Purpose:
Reality Television Production Office Receptionist Position:
The Receptionist is the first person visitors meet upon entering the facility and therefore must be consistently professional, welcoming, approachable, and friendly. This person has excellent customer service skills and maintains a calm comfortable area for guests to wait prior to meetings. The Receptionist provides administrative support for the Manager, Operations and assists with special projects as required.
Essential Responsibilities:
• Welcomes guests to the company.
• Answers main phone line and directs calls appropriately.
• Maintains a neat and presentable Reception front desk.
• Schedules and manage conference room calendars.
• Programs and creates keycards for all new hires.
• Coordinates and tracks all motor vehicle requests.
• Receives USPS, FedEx, UPS, and Messenger packages.
• Creates FedEx shipping labels.
• Tracks Fed Ex Invoices for all shows
• Order all Office and Kitchen supplies.
• Track all office supply invoices.
• Stocks kitchen and maintains kitchen on both floors.
• Check the supply areas.
o Make sure the Printer is fully loaded with paper
o Tidy printer areas
o Tidy supply closet
• Responsible for assisting Manager, Operations with reconciling credit card purchases.
• Updates various spreadsheets including corporate/production directory, Keycard tracking for production, and other general
administrative duties.
• Distribute mail.
• May provide coverage for assistants as needed, under the direction of the Operations Manager.
• Will be in constant communication with Building Security.
• Assist Manager, Operations with projects as needed.
• Assists production managers with projects as needed.
Skills & Qualifications
• Bachelor's degree preferred.
• 1 year' experience in a corporate setting with administrative experience.
• Must have a professional, friendly demeanor with excellent customer service skills and a ''can-do'' positive attitude.
• Effective written and verbal communication skills - this role interacts with employees at all levels of the company.
• Must be a pro-active, self-starter who can work independently as well as with a team.
• Must have superior attention to detail and work well under pressure.
• Must communicate and keep Manager, Operations informed of any issues that arise at reception or security.
Eligibility Requirements:
o Must be willing to submit to a background investigation.
o Must have unrestricted work authorization to work in the United States.
o Must be 18 years or older.
