A unique Film Music Talent Agency/Music Management Company with unique culture located in Burbank is seeking an enthusiastic, personable individual to undertake a variety of day-to day office and facilities tasks. Front Office Administrator will work directly with the operations team to ensure that the office operations run smoothly and efficiently. Performs all front office activities, including reception, mail deliveries and facilities. Visible position with opportunity to learn, be mentored and to learn about the organization and how it runs.
Duties:
• Handle general office administration and reception coverage
• Primary point of contact for clients and guests visiting and calling the office
• Responsible for answering incoming calls, routing calls promptly and correctly to the proper staff person or voicemail, and politely taking messages when necessary
• Sort, process and distribute incoming / outgoing mail, including Fed Ex, UPS and Messengers
• Handle all building and office maintenance and be the first point of contact for the building
• Order kitchen and office supplies, maintaining a strong relationship with all office vendors
• Stock, organize and maintain kitchen, conference rooms and common areas
• Order company stationary and business card printing
• Work with the Operations team on company events and ongoing projects
• Ensure Operations Department is well informed of all office-related matters
• Work with Accounting Team on projects
• Interact with various departments
• Handle information confidentially
• Open and Close the Office each day
• Other duties as assigned
Skills and Qualifications:
• Commitment to exceeding expectations of clients, visitors, and fellow employees
• Must be reliable, punctual and well organized
• Ability to multi-task and handle a fast-paced work environment
• Ability to self-manage and prioritize
• Excellent in-person, phone and electronic communication skills
• Proficient in Microsoft Office
• No job is too small attitude
Hours are Mon-Friday 9:30am-6:30pm
