Job Overview:
The Project Coordinator coordinates the entire process of creating marketing material for studio motion picture releases from on set coverage through final delivery. The Coordinator tracks incoming assets, QC's them to ensure there are no technical or content issues. The coordinator keep logs up to date, confirms delivery specs with the Producer, and QC's and delivers all elements to the Client. There is the possibility of long days and late hours given tight turnaround requirements.
Essential Job Functions
Scheduling:
• Coordinate with Producer to determine schedule for on set coverage. Help find and hire crew as necessary.
• Maintain and revise all schedules as necessary and relay essential editorial scheduling information to Post Production.
• Pro-actively assess upcoming/immediate needs and re-prioritize tasks as necessary.
• Review Editor needs daily with Post Production Supervisor.
• Work with Producers to make sure that they are ready to go into finishing when needed.
• Work with Post Production Supervisor to schedule finishing and verify final delivery.
Asset Intake and QC:
• Ensure all assets that are received are the elements that we were expecting/need. QC all incoming materials for errors.
• Notify Producer of any issues so that client can be notified immediately and a resupply can be requested.
• Coordinate ingest of materials via the Request System
• Keep master list of all materials that have been digitized/ingested, including which drives they are on and what specs they were received in
• Ensure assets and masters are received in timely manner, according to due dates, editorial and final delivery schedule.
• Ensure all materials are logged into the vault.
Creative:
• Work with the Producer to pull creative selects. Soundbites, BTS, film clips, etc.
• Help create concepts given material captured on set.
• Support the Producer with scripting when necessary.
Legal
• Track all legal documentation related to the project. (Shot logs, audio cue sheets, stock footage licenses, releases, clearances etc.)
• Create shot logs and music cue sheets with assistance from editorial.
• Search for, download, and track stock footage, stills and music cues.
• Be familiar with the client's licensing requirements.
• Flag potential issues for Producer.
Responsible for Rough/Final Delivery:
• Work with Editorial to get spots exported for Client approval.
• Create Client approval links for the Producer to send.
• Confirm delivery specs for each delivery with Producer.
• Provide QC of all versions and final delivery.
Job Related Qualification Standards
1. 3+ years experience in project management, asset management, QC or post production.
2. Ability to work under pressure.
3. Ability to manage multiple tasks simultaneously.
4. Attention to detail.
Knowledge/Skills
• Must have excellent communication skills, both verbal and written.
• Excellent interpersonal and presentation skills.
• Focused attention to details.
• Must have experience with and understanding of delivery specs.
• Ability to work under pressure without compromising performance or accuracy in a deadline oriented environment.
• Works collaboratively and proactively on multi-functional teams. Open to feedback.
• Consistently communicates using appropriate methods for the situation and audience in a clear, concise and professional manner.
