PERSONAL ASSISTANT TO ACTRESS/PROD/CONTENT CREATOR/SOCIAL MEDIA
The ideal candidate will have experience in office management, personal errand management, as well as scheduling, travel/itinerary management, and other key support skills. We are seeking a trustworthy, intelligent, kind, enthusiastic, detail-oriented and experienced assistant. This person should be a self-starter with a strong work-ethic, who is proactive and willing to go above and beyond without being micromanaged. The ideal candidate has great organizational skills (including the ability to prioritize, multitask, and time manage) and a positive attitude with regards to personal errands, including occasional overnight house sitting and frequent dog sitting. Dog is 17lbs with special needs (and is adorable), so liking dogs is a must. We are looking for someone who will be with the company longer-term, who is more interested in business and project management versus creative career growth opportunities. Monday through Friday - with flex as needed for events and projects.
Considerations:
· Hours are flexible, dependent on need. Primary location is currently in West Hollywood.
· Some travel will be expected.
· Familiarity to film and TV is a plus, but not necessary.
· 2+ years of a demonstrated track record of successfully supporting and scheduling for Executives that are in high-demand.
· Compensation is a fixed salary with health care benefits. Up to 80K DOE
What you'll be doing:
· Oversee and manage busy and often changing schedules and calendar of travel, meetings, day-to-day activities
· Handle all travel coordination and create detailed itineraries for flights, ground transportation, lodging, etc.
· Coordinate logistics, briefings, and materials for meetings, speaking events, media interviews, and support on any follow-up actions
· Assist in any tasks and errands, both personal and professional
· Assist with special projects, as needed
· Perform written/administrative tasks as assigned, such as note-taking during meetings
· Manage internal organization of business documents on cloud-based storage system
· Maintain positive relationships with collaborators
· Maintain familiarity with projects in development
· Share creative feedback, as requested
· Travel as needed to provide support and coordinate logistics for projects, appearances, etc.
Skills and abilities:
· Excellent administrative, analytical, and organizational skills, including impeccable calendar management
· Proficiency in G Suite Office, Mac, Word, Excel, PPT, as well as social media platforms
· Consistently demonstrate professional written and verbal communication skills by video, phone & email
· Must have clean driving record and a reliable car for errands and lunch runs (non-negotiable/Uber not an option)
· Ability to balance multiple priorities across multiple commitments
· Manages calmly and effectively in high stress situations
· Exercises tact and discretion in handling a variety of confidential material
· Willingness to be flexible and adapt to a fast pace schedule and situations.
· Works independently, exercise initiative, solve problems and use sound judgment and decision-making skills.
· Ability to lift 50 lbs, if needed.
