About the Role
The Operations and Facilities Specialist will provide operational support and general building oversight, including facility, grounds, and equipment maintenance for a mid-size business with multiple tenants.
Key responsibilities include monitoring the condition of the building, conducting routine inspections, communicating internal maintenance needs, and ensuring overall safety and compliance. The position requires positive and productive interaction with other employees, and a customer service-oriented mindset.
In order to be successful in the job, the Specialist will aim to achieve the following outcomes:
- Ensure safety and compliance across the building and property on a daily basis
- Work with security to schedule on-site daily parking assignments
- Determine and communicate minor maintenance requirements of interior and exterior of the building by conducting routine inspections and checking maintenance schedules of the various building systems (i.e., elevators, fire extinguishers, fire alarms, cameras)
- Interact with and schedule outsourced vendors and project contractors as needed or requested
- Perform internal requests as necessary, e.g. move furniture, equipment for office moves, ordering supplies, facilitate deliveries and pick-up
- Assist and Support the Security team with administrative responsibilities when necessary
- Report and initiate facilities related repairs
- Assist with setup and breakdown of furniture and/or equipment for events and meetings as requested.
- Implement and ensure building occupants are aware of emergency procedures, including safe evacuation and annual fire drills.
- Manage property projects, while sourcing corresponding contractors and vendors
- Daily checks to make sure all utilities/amenities such as TVs, Security System, AV System, Air Conditioning/Heat, pool, landscaping are up and running the way they should be.
- If there are issues, must be able to troubleshoot alongside the corresponding repair teams/vendors.
- Identify, evaluate, negotiate and contract vendors for scheduling and providing preventative and requested maintenance and repair services
- Lead preventative and reactive repair and maintenance activities
- Manage vendors' performance to ensure all work meets quality requirements and that service is provided in a timely and cost effective manner
- Provide active insights and input into functional design of facilities and choice of equipment to the design and construction team and influence decisions that are favorable for the long term upkeep of assets
- Demonstrable initiative, professionalism, personal awareness, integrity, and awareness of confidentiality in the required areas of performance.
- Additionally, the candidate must be self-motivated and hard-working and take pride in providing high quality, detailed work
- Excellent critical thinking and problem-solving skills. Able to analyze new situations and find simple solutions that get the job done.
Qualifications
- Ability to lift, push or pull up to 50 lbs., including climbing ladders
- Availability to work shifts required of the position, plus additional after hours or weekend on-call
- One to Four years of relevant work experience in facility, property, or studio management is preferred
- The ideal candidate possesses strong interpersonal skills, is team oriented, and has a friendly, helpful attitude
- Strong technical knowledge of all aspects of facilities maintenance, including HVAC, electrical, plumbing and building systems and finishes
- Strong organization, planning and computer skills (i.e. G-Suite, Excel)
- Knowledgeable in governing codes, safety (OSHA) rules, sanitation (NSF), and building codes (BOCA)
