A full service bi-costal commercial production company seeks a sharp, capable, solution-oriented individual for the Office Production Assistant position in our Los Angeles office. This position is perfect for someone interested in breaking into the fast-paced world of commercials, advertising, or production. Someone who is responsible, reliable and resourceful with a positive attitude and energy to have fun and be flexible!
The Office PA is responsible for the office's daily flow - answering phones, greeting visitors, maintaining office appearance, etc. In addition, he or she supports the staff with any production or personal needs that may come up. This includes supporting the Controller with financial and administrative needs.
We represent and work alongside prominent directors and clients and are looking for that person who can bring professionalism, personality, dedication, and polish to the table. The position is full time, salaried; hours are approximately 8:30am-6pm, Monday-Friday, and we offer full medical and dental insurance coverage. We are located in Venice.
Responsibilities include:
- Answer and screen all calls, greet and direct visitors, handle all incoming/ outgoing mail and packages
- Maintain the master office calendar
- Plan and organize office events, negotiate daily office traffic
- Assist financial Controller with payables data entry and credit card reconciliation
- Liase with and assist all freelance staff on their various productions
- Track all bidding, pre, and post production jobs and update weekly Job Report
- Set up and run phone and video conference calls
- Support senior staff with any administrative, production, or personal needs
- Aid in research by obtaining travel pricing quotes and light general location research
- Keep office/production/kitchen supplies stocked and well inventoried
- Maintain office cleanliness in between regular cleaning service
- Coordinate service and any repairs with building vendors (cleaning service, regular deliveries, utilities, etc)
- Run errands for office as needed
- Infrequent but occasional weekend tasks
- Ordering lunches for staff, clients, or freelancers
Requirements include:
- LA area resident
- College degree preferred
- Expert in Microsoft Office programs (Word, Excel)
- Mac user preferred, tech savvy a must
- Detail oriented
- Problem solver
- Team player
- Go getter
- Adobe Creative Suite and/or QuickBooks knowledge a plus!
- Ability to be flexible and on call for emergencies
