Talent Agency is seeking an Office Manager who will organize and coordinate office administration and procedures in order to ensure organizational effectiveness, efficiency, and safety, ultimately providing and extraordinary experience to employees and clients. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, supervision, and task delegation to Mailroom Assistants. The Office Manager is an energetic, customer service driven professional that believes no task is too big or too small.
Responsibilities:
Ensures office environment is maintained at the utmost level of professionalism, organization, and aestheticically appealing excellence at all times.
Acts as point person for employees regarding all office and supplies requests.
Assigns clerical, administrative, and secretarial tasks to Mail Room Assistants.
Ensures top performance of Mail Room Assistance by providing adequate coaching, guidance, and feedback.
Assists in onboarding procedures for all of the Company new hires.
Stands as point person for maintenance, mailing, shipping, supplies, equipment, bills, and miscellaneous errands.
Coordinates with IT department on all office equipment and software inquiries.
Ensures security, integrity, and confidentiality of Company data.
Monitors and maintains office supply inventory.
Responsible for developing and implementing office policies by setting up procedures and standards to guide the operations of the office.
Responsible for maintaining and monitoring organizational filing systems and procedures for Company information and records.
Maintains a safe and secure working environment with strong customer service communication skills.
Qualifications:
Agency experience preferred but not required.
Proven office management, office administrative, office coordinator, office assistance experience, or related experience.
Knowledge of office management responsibilities, systems, best practices, and procedures.
Strong time management skills with ability to multitask and prioritize tasks.
Excellent verbal/written communication skills.
Proficient in MS office, PC devices, Apple products, and other common office softwares.
