We are seeking an Office Assistant/Music Coordinator to join our small but very busy company. This position will work closely with and be an integral part of the team. The successful candidate will be a sharp, professional and responsible individual who is self-motivated and able to multi-task several projects at a time. This is an excellent opportunity for someone looking to broaden their entertainment experience where the fields of Music, Film and Television overlap.
In this role, your responsibilities will include managing meeting schedules, answering phones, travel coordination, handling incoming/outgoing mail, creating excel spreadsheets, simple website and database management, general filing, managing billing, expense tracking, organizing/duplicating CD/DVDs, interoffice distribution, equipment maintenance, working with the building management and IT teams to resolve technical issues, maintaining office supplies and other various tasks.
Equally important is music coordination. You will assist our team with duties involving management of our music assets, license tracking, cue sheet creation, credit collection, music budget tracking, music research, creative searches, creating licensing documents, playlist creation, coordinating email marketing blasts and more.
Must have previous administrative experience. Must have strong and professional interpersonal/communication/phone skills, excellent writing skills, be well-organized, detail-oriented, a self-starter and a problem solver. Must be able to work both autonomously and with a team. Must be computer savvy, with proficiency in Windows operating systems and Microsoft Office (Word, Excel, Outlook).
Skills in WordPress, MailChimp, Adobe Acrobat, Adobe Photoshop, RapidCue, social media, iTunes, CD/DVD duplicating software are a plus. Knowledge and interest in all genres of music is a plus. Previous experience in a music supervision or licensing office is a plus.
