Top-tier commercial production company is seeking an In-House Production Coordinator to support the Managing Director/Executive Producer, Executive Producer and Head of Production as well as oversee and provide support to freelance production teams. Needs to be able to interface with directors and agencies/clients in a professional manner, along with having a creative eye/edge and be able to problem-solve. The ideal candidate is a motivated self-starter with strong communication skills; someone who is resourceful, thick-skinned, able to multitask, and willing to work when needed (possible early mornings, late evenings, or weekends depending on timing of projects). Previous production experience, positive attitude, and strong organizational skills are a MUST.
Primary tasks include:
- Trafficking and evaluating all new jobs including job resources from the first call through research and award
- Hiring and supervising treatment teams; treatment writing and layout revisions
- Maintaining and overseeing key crew and stage holds
- Tracking director calendars and creating job calendars
- Managing awarded job process including awarded email, awarded docs and production contract/PO/insurance addendum routing to accounting and legal department
- Supervising freelance production crews; updating production procedures; handling PPBs
- Helping oversee DOT, DGA, and Union procedures
- Liaising with attorneys regarding job and director contracts and deal memos; managing O-1 visas
- Overseeing master deliverables for vault
- Processing job expenses/invoices
Requirements include:

- Exercises good judgment in managing situations and people
- 100% rate of follow-through
- Excellent interpersonal, written, and verbal communication skills
- Able to multitask, problem solve and WORK UNDER PRESSURE
- Has creative passion and interest in film, music and art
- Internet, tech & social media savvy
- Proficient with Macs, Zoom, Slack, Google Workspace, Microsoft 365, iWork, and Box or similar
- Strong copywriting and proofreading skills
- Proficient with InDesign and Photoshop is ideal
- Working knowledge of Hot Budget, Showbiz, and Point Zero is preferred
- Must have a valid driver's license and an insured vehicle
