The Human Resources Coordinator supports a non-scripted, documentary film company with 15-20 active shows, supporting 150+ freelance employees, and has crews working in multiple states and internationally. The Human Resources Coordinator is responsible for supporting the day-to-day and administrative needs of the department, coordinating the freelance onboarding process, start paperwork filing, I-9 processing, fielding department related questions, and working closely with Accounting to set up payroll in the Accounting systems for each production.
Essential Functions:
Provides direct administrative support to the Human Resources Department;
Regularly tracks and manages freelance onboarding to ensure start paperwork is being signed by the employee and company representatives, sent to the payroll company in a timely fashion to meet payroll deadlines, uploaded into the online timecard system; and will work closely with a Payroll Support Coordinator to effectively complete payroll weekly;
Works with third party benefits administration to identify individuals who are active and eligible for benefits enrollment;
Administers third-party Harassment Prevention Training to all members of active productions;
Position will field Unemployment claims, wage orders, and verification of employment, and Disability Claims, and bring to the attention the HR Manager if necessary;
Position will generate all Change in Relationship paperwork for departing employees, including forms, packets, unemployment, and COBRA;
Alongside the HR Manager, the Coordinator will manage the digital employee personnel files to ensure documents, forms, and correspondence are appropriately filed;
Position will assist with the recruiting process including posting on job boards, vetting candidates, scheduling interviews, and sending rejection letters;
Works closely with third-party payroll provider and the Accounting Department to verify employee sick and leave balance;
Maintains relationships with key personnel to ascertain necessary production and employee information;
Maintains several ongoing spreadsheets and charts, including current employees, loan-outs, onboarding grids, etc;
Works closely with the Accounting and Legal departments to track employment start dates, rates, and end dates;
As needed will participate in employee relations process by drafting notes, preparing correspondence, and conducting minor employee relations interviews to accompany larger investigation;
Position will perform specific projects as dictated by the Manage or Company on an as needed basis.
Other Duties & Responsibilities:
Handles confidential matters with discretion and professionalism;
Ability to multi-task and handle several ongoing projects simultaneously;
Ability to maintain a high level of organization;
Great follow-through and the ability to anticipate upcoming work needs;
Ability to communicate with staff at all levels;
Exhibit excellent grammar and writing skills;
Must be extremely self-motivated and comfortable working independently and in a group setting;
This position is hourly with very light overtime as deemed necessary.
Qualifications:
1-3 years of HR Assistant or Coordinator Experience;
Must be proficient in Microsoft Office (Excel, PowerPoint, Word);
Knowledge of the entertainment industry is not required but a plus;
Must be comfortable with the Macintosh Operating Systems.
Physical Demands:
This position requires heavy computer use so the candidate must be able to sit for the duration of their shift;
This role would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
Work Environment:
This position operates in a professional office environment, with opportunity to work from home 1-2 days/week;
This position routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines;
This position will not require travel;
This position does not require the use of a company or personal vehicle for work related tasks;
This is a full-time position. The hours for this position are 9:00A - 6:00P
