High profile entertainment industry family is seeking a Rockstar executive/personal assistant. We're looking for a proactive, intuitive professional that has extensive high-level experience with a proven track record working in a creative, fast-paced environment. The right person for the job is discrete, has a ''can do'' attitude, an incredible multi-tasker and a drive to handle all projects with tact and precision.
Personal Responsibilities
• Maintain Family calendar- planning and scheduling to include medical appointments, vendor appointments, school, sports and extracurricular activities.
• Coordinate, plan, and schedule family events
• Book family and business travel to include commercial and private flights, hotels, and cars.
• Supervise multiple resident staffs including babysitters, nannies, housekeepers, house managers to include scheduling, facilitating, and onboarding staff.
• Gifting - purchase gifts and coordinate delivery. Maintain gift database.
• Work with business managers on vendor quotes, credit card charge allocations, invoice approval and payroll.
Business Responsibilities
• Manage daily business schedule/calendar including all internal and external meeting and calls. Coordinate with the personal schedule.
• Source, schedule, book, manage, and approve invoices with Business Managers
• Liaise between publicists, agents, manager, social media team. Includes coordination with spouse's assistants.
• Project manage long-term personal and professional endeavors.
Qualifications
• Bachelor's Degree required
• 5 - 7 years previous administrative work experience in including a supervisory role.
• Minimum 2 years entertainment industry experience with high profile individuals.
• Detail and solution oriented with an eye for quality
• Highly organized
• Excellent written and oral communication skills
• Proficient in Apple/Mac products and systems (IMail, calendar, etc) with a thorough understanding of MS Office and Google Suite.
• Ability to work under pressure, in a fast paced environment.
• Reliable car with valid driver's license with a good driving record.
• Must be dog and kid friendly
