Executive Assistant (Experience Required)
Based in Beverly Hills, a boutique talent agency is seeking an Executive Assistant to provide administrative support to the President and Vice President. In this project heavy role, the candidate is responsible for a variety of day-to-day administrative tasks and will be expected to produce high-quality communications materials, send auditions, upload self-tapes, contribute to online communications, and act as a liaison.
This position combines creative, publicity and administrative duties, including management of heavy scheduling, travel, and monitoring coverage for the agency's clients.
Must come in ready to go; must come knowing Breakdown Express, IE, Casting Networks, How to track, Cmails, etc. This is NOT for beginners. MUST have prior agency experience.
Due to COVID-19 this role is currently remote Monday and Friday. You will be in the office Tuesday, Wednesday, and Thursday.
What You Will Do
- Administrative duties include answering phones, heavy meeting and schedule coordination, heavy email correspondence, and some travel coordination
- Submit clients on Breakdown Express and Casting Networks
- Send out Cmails
- Use IE to keep the client database updated
- Coordinate external communication activities as needed
- Participate in brainstorming and planning sessions
- Assist in organizing and execution of events, campaigns etc.
- Conduct research to support Corporate Communication planning
- Draft content such press releases, pitches, agent and executive biographies, and other
agency-related documents
- Develop and maintain relationships with casting agencies, clients, and managers
- Interact with high-profile clients, managers and publicists
- Script-coverage as needed
What You Will Need
- Bachelor's degree strongly preferred
- Minimum 2+ years of prior experience at a talent agency.
- MUST KNOW BREAKDOWN EXPRESS, IE, and CMAIL
- Strong Project Management skills
- Proficiency in MS Office (Word, Excel, Outlook, Access, PowerPoint)
- General business knowledge and interest in media and entertainment business
- Strong problem-solving, listening and skills.
- Excellent communication and writing skills
- Well-organized, able to work with deadlines
- An analytical mind with attention to detail
