Summary:
Reporting directly to the senior partner at a dynamic entertainment law firm, this position will work independently to perform a wide range of complex and confidential administrative and clerical support duties in a fast-paced environment. This role is critical to the entire team's success in managing day to day affairs and so requires excellent communication and interpersonal skills and the ability to provide information and assistance to a wide range of internal and external contacts. A person in this position will need to understand the company's business and the matters handled by the entire legal team and use independent judgment, big picture thinking and a collaborative approach. Knowledge of the entertainment industry, including the major players in management, agencies and production preferred.
The successful candidate will be extremely organized, self-motivated, flexible and solutions oriented. Executive assistant experience is strongly preferred but not required. The best fit for this position is someone who will go beyond their daily responsibilities to think ahead, take initiative, and find opportunities to create impact within the position and across the company.
Daily tasks include but are not limited to:
- Manage the partners calendar, including coordinating complex schedules across multiple time zones
- Arrange travel domestically and abroad (including accommodation, visa applications, itineraries and time zone adjustment). The partner travels one half to two thirds of the time.
- Act as point of contact between partner and clients, impeccable phone and email etiquette required
- Process and submit business and travel expenses
- Handle confidential information with discretion and professionalism
- Organize and maintain files, track the status of contracts and projects and provide status updates to team members as requested
- Assist with project management, including follow-up and reminders to appropriate participants
- Help plan company events, meetings, and employee team building activities or special projects
Qualifications:
- BA/BS Degree
- Self-starting team-player who learns fast and thrives in a fast-paced team-oriented setting
- Ability to be discreet and maintain confidential information
- Highly organized with strong communication skills
- Ability to multitask and effective in prioritization of numerous tasks
- Proficiency in Google Suite and Microsoft Office Suite
