Two Executives, a commercial Producer and a Manager, in the South Bay are seeking a top notch Executive Assistant. The Executive Assistant will be the executive's right hand, which means that he/she will manage the travel itinerary, calendaring, scheduling meetings, reports, calls, email correspondence, and client relations. This position requires utmost sensitivity to confidential matters and understanding of business etiquette. Although this position takes place primarily in the office, at Manhattan Beach Studios lot and majority of the work will be administrative/production related, the Executive Assistant will also be required to occasionally handle Personal Assistant duties, including: picking up dry cleaning, picking up coffee or lunch, and running other small personal errands.
This position will require someone who has a sharp and positive attitude. Thick skin and good sense of humor are mandatory, as the office can be high-paced with many moving parts. Advancement opportunities available.
Requirements:
• Experience in both MAC and PC/Windows environment primarily using Microsoft Word, Excel, and Outlook
• Multi-tasker with strong attention to detail
• Excellent organization, communication, and time management skills
• Ability to multi-task while remaining flexible and highly dependable
• Ability to work under minimal supervision
Job Description:
• Track company and client projects using shared software, keep track of timelines and due dates
• Read and breakdown scripts and provide coverage
• Transcribe notes in meetings
• Manage calendar and card/gift buying for client and staff birthdays, anniversaries and other holidays.
• Schedule new business meetings
• Answer calls
• Prepare correspondence on principal's behalf
• Organize travel and complex itineraries
• Plan and manage events
• Attend meetings and events as company representative
• Update company website
• Run personal errands
• Flexible schedule
