Executive Assistant

Major talent agency with offices in Los Angeles & New York is seeking a highly motivated, experienced Executive Assistant to support our Chairman/CEO.
Strong leadership qualities, excellent phone and communication skills, multi-tasking and versatility are invaluable in this role. This individual is expected to show resourcefulness, exhibit accountability, and understand their role well enough to work independently and demonstrate initiative.
Talent management, casting or agency experience preferred.
Responsibilities include:
- Handle all administrative support for Chairman/CEO
- Phone management (e.g., roll phone calls, transfer, conference)
- Calendar management, scheduling meetings, etc.
- Travel coordinator for all employees, including flights, hotel and conference registration management
- Oversee catering for all weekly staff meetings, including meeting specified budgets
- Special event management from concept to execution, including budgeting, staffing, location scouting
- Coordinate gifts for clients and business contacts
- Manage and update contacts
- Track expenses on corporate credit card, submitting accurate monthly summary to management
- Handle charitable donations and maintain subscriptions for LA & NYC theater
- Assist CFO with bill payment for various office facilities (parking, phones, cable, internet)
- Distribute approved parking validations for clients and guests
- Act as support for office manager, as needed
Qualifications and Skills:
- Associate's/Bachelor's degree preferred
- At least 3 years of prior executive administrative assistant experience
- Capable of managing several projects simultaneously with minimal supervision
- General business knowledge and interest in media and entertainment business
- Strong ability to liaise with key senior-level executives
- Highly professional with excellent judgment
- Proven ability to work collaboratively with a team
- Proficient with PC, MS Office
- Excellent written & communication skills
- Ability to comfortably interact with high profile clients and to use high level of discretion/confidentiality
- Nimble and flexible to succeed in a fast-paced environment and handle ad hoc requests
- A self-starter with the ability to think and work creatively and strategically
