Executive Assistant
Reporting to the General Manager, Head of Creative, and VP of Production
Job Purpose
To facilitate smooth operational coherence of a fast-paced upmarket lifestyle-focused SVOD OTT network by managing executive schedules and responsibilities with a solution-oriented mindset and a high attention to detail
How This Role Fits In
This role is key to the internal and external image of the Company ensuring a professional, positive demeanor is projected to staff, senior management, clients and business partners. Additional support provided to the general admin team as and when required, enabling efficiency and organization.
Key Accountabilities/Responsibilities
- Proactive and effective front line management and primary support to the principals
- General office management including but not limited to proactive and cost-effective management of office supplies, vendor and general office efficiencies
- Manage internal meeting logistics
- Quick and responsive tracking of commitments and action steps required of you and the principals using Google calendar and other cloud-based management systems
- Attend meetings and training sessions as required and develop relevant knowledge and skills
- Travel as needed when projects require
- Maintain electronic and paper filing systems in an efficient, standardized manner
- Plan, maintain and improve (where appropriate) work systems, procedures and policies to encourage optimum performance
- Communicate any new procedures and policies to the team in a timely manner
- Work to a high standard of continuous improvement

- Proactive, enthusiastic, process and solutions-driven approach
- High attention to detail
- Anticipate the needs of principals, and move obstacles out of their paths
- Understanding and embodiment of customer service across the board
- A good sense of humor… and a good sense of when to use it
- Ability to work well under pressure and meet tight deadlines
- Approachable with the ability to create solid business relationships
- Capable of working independently using own initiative, as well as a part of the team
- Ability to organize and prioritize workload to ensure deadlines are met (both for yourself and the principals)
- Adopt a flexible approach to meet the changing demands of the role
- Proficient IT skills within the Google Docs/Sheets and Microsoft Office suites
- Able to communicate clearly and concisely
Experience
- Previous experience of working in a customer facing environment
- Previous experience supporting top level executives
- Ideally educated to a degree, or equivalent qualifications
