FULL TIME JOB:
Entertainment PR Consultancy is seeking an executive assistant for a high-level PR Agency Partner. The ideal candidate will be punctual, reliable, well-organized and extremely proactive with excellent time management, a real go-getter whose attention to detail is impeccable. This role also calls for the person to be flexible, smart, willing to travel, have serious administrative skills, and TRULY ready and able to dive in head first, always be on their toes while maintaining a calm temperament and even demeanor. The candidate truly understands the rigors of the entertainment business, the pacing, the names, and the fluid nature of the industry. Ideally the candidate will have some PR experience/knowledge, but more importantly can act as an executive assistant who is point and detailed at all times, triple checking schedules, calendars, travel management and so on, who won't take things personally and knows how to keep a very busy type A person moving along in both their personal and professional needs. This position will require the person to work from an office/or home in Los Angeles. Potential travel to NYC, as the executive is bi-coastal.
Responsibilities:
· Provide full personal and administrative support to the executive
· Aid executive in both company errands (magazines/newspapers clipping) for both personal and professional needs
· Respond to document requests on behalf of executives (such as broadcast segment coordination for client appearances)
· Draft slides, meeting notes and documents for executives
· Maintain all calendars for both personal and professional needs as well as media lists
· Conduct research to support PR planning and new business
· Support in tracking media coverage or PR metrics (e.g. web analytics) and Google Alerts
· Invent ways to streamline communication and plan execution
· Assist with general administrative duties, including answering phones, creating memos, itineraries, complex travel, social media, etc.
· Compile client coverage from daily, weekly, monthly and online publications
Qualifications:
· Understanding of PR/Entertainment landscape and its marketing concepts and practices
· Experience working as on schedules, travel itineraries, memos, and house management
· Ability to multi-task and set priorities in a fast-paced environment with rapidly changing needs
· Strong knowledge of Microsoft Office Suite (Calendar, Email, PowerPoint, Word, Excel)
· Excellent Grammar and Creative Writing Skills, specifically for pitches, bios, social media, personal correspondence on behalf of executive
· Experience corresponding with high level clientele on a daily basis (celebrities, executives, vendors, etc.)
· Well-organized, detail-oriented, proactive, professional, a go getter whose attention to detail is impeccable
· Has an analytical mind with attention to detail - critical thinking required
· A good design eye (e.g. Photoshop) is a plus
· Strong core communication skills including media relations, writing, editing and persistence
· Bachelor's degree or equivalent experience
· Should have reliable transportation
NOTE: Serious candidates only. Previous PR/marketing agency experience is required. If you are mostly experienced in other arenas of entertainment and film or TV production, please detail WHY you're interested to make the move into Public Relations. Must demonstrate awareness of and ability to navigate within current publishing landscapes (print + digital magazines, newspapers, social media) in addition to broadcast. Lastly, this individual should be able to swiftly draft documents and help the executive with any necessary meeting preparations. Attention to detail is a must, alongside excellent multi-tasking abilities. Prior EA experience required
