Executive Assistant to A-List Celebrity/CEO
This is an amazing opportunity for an accomplished and experienced Executive Assistant supporting an A-List Celebrity and CEO of our film production company in NYC. This is a fast-paced, high profile position requiring an individual with top-notch support skills. In this position you will serve at the primary point of contact for all internal and external matters pertaining to organizing meetings, heavy scheduling, taking thorough notes, making travel arrangements, coordinating office support services, and assuring that documents, reports, and correspondence are prepared for the CEO in a timely manner. It requires a forward-looking thinker who is an excellent communicator, extremely organized and proposes solutions for top level executives and professionals within the entertainment industry.
QUALIFICATIONS:
• Qualified candidates will have a minimum of 5 years supporting a senior level executive within the entertainment industry.
• A 4-year college degree preferred, advanced computer skills and the ability to multi-task and work overtime is required.
• This role requires a strong sense of loyalty, urgency, reliability, commitment and the ability to manage highly-sensitive/confidential information.Experience working with individuals at all levels and working knowledge of industry names, players and film/television vocabulary necessary.
• Candidate must be intelligent, articulate and professional, possessing superior interpersonal and organizational skills.
• Must have experience booking international and domestic travel
• Demonstrate a positive and personable attitude.
• Ability to multitask, work with limited supervision, adjust easily to changing priorities and maintain composure in a fast paced environment.
• Polished presentation skills with the ability to confidently react to situations in a timely and professional manner.
• Possess attention to detail; outstanding time management skills
• Proficiency in Google Docs, DropBox, ImdbPro, MS Word, Excel and PowerPoint
• Must have strong written and verbal communication skills.
• Must have experience in Social Media (Facebook, LinkedIn)
• Must be very organized and detailed oriented.
• Must be able to work flexible hours including some evenings and weekends
• Must live in New York City or in Tri-state NY region.
Responsibilities Will Consist Of But Are Not Limited To:
• Assisting the CEO in his oversight of a full service film and television production company.
• Managing meetings including scheduling conference calls, arranging and booking international and domestic travel, organizing car transportation, hotel accommodations, conferences, meals and assist with event planning as dictated. Requires thorough follow through with little to no room for errors.
• Prioritizing conflicting needs; handles matters expeditiously, proactively, and follows through on assignments/projects to successful completion
• Answering telephone, screening and logging calls, taking messages, provides information and assistance as needed. Places outgoing calls on behalf of the CEO, as dictated.
• Managing executive's calendar and scheduling meetings; ensures that appropriate materials are available for meetings and calls.
• Work under tight deadlines, remain aware of shifting priorities, anticipate last second changes and make necessary adjustments; always having a plan B in place.
• Manage company's social media account (Facebook).
• Managing all elements of files and records
• Managing and complete expense reports and reconcile monthly credit card statements
• Speechwriting; writing various speeches, letters and emails on behalf of the CEO.
• You may be required to be on-call, especially when the CEO is traveling
