LOCATION: Brooklyn, NY
HOURS: Full time + (on call 24/7)
TRAVEL: Possible
EDUCATION LEVEL: Relevant BA preferred (e.g., Communications, Film & TV, etc.)
JOB DESCRIPTION:
High profile director seeking industrious assistant to handle all day-to-day needs.
The ideal candidate must be proactive, extremely organized and detail oriented, flexible, with a positive attitude and good communication skills. We're looking for a true problem solver who can learn the system and anticipate needs.
RESPONSIBILITIES:
Assist with personal tasks: running errands, shopping, etc.
Responsible for managing home needs for two properties - cleaner, handyman, landscaper etc
Send and receive shipments
Gift buying
Schedule and coordinate meetings, appointments, and reservations.
Ensure that ever changing calendar for personal and professional needs is up to date and reminders are sent
Manage to do list - meticulous tracking of all incoming materials, requests, and emails to ensure a timely response.
Print and prepare documents, materials for meetings, etc.
Attend and take notes at meetings as requested.
Prepare expense reports in a timely and accurate manner.
Daily management and updates to Airtable database of projects and submissions.
Assist with script coverage.
Organize travel arrangements such as flight, hotel, and car/taxi.
Interface with producers, agents, managers and business associates.
QUALIFICATIONS:
Proactive approach to work, patience and willingness to take initiative when appropriate.
Good communication and interpersonal skills.
Ability to solve problems in a resourceful manner.
Able to prioritize in a fast paced environment and be flexible to work off hours.
Able to work independently and also be comfortable interacting with all levels of associates.
Driver's license and confidence to drive in NYC
Self-starter and positive thinker with a willingness to offer assistance with any task large or small.
Ability and desire to improve systems and processes.
Familiar with Apple software and products.
Familiarity with Photoshop, Adobe Suite a plus.
Knowledge of Airtable a plus.
6+ months as a Producer's Assistant, Production Assistant, internship experience in production, or related experience preferred.
Organized, detail-oriented, ability to multitask, strong desire to learn, interested in people, and have excellent verbal, written, and e-social communication skills.
Comfort level working in a fast-paced, constantly evolving environment with the ability to manage time and balance priorities.
