The Coordinator to the President is a high-level administrative position that works closely with the President and management to help execute the organization's strategic, operational, legal and financial goals. The position helps lead projects, and supports the President's work with the Team and overseeing outsourced business functions. An important responsibility is to ensure that operational information is communicated in a timely, accurate and appropriate manner. The Coordinator manages the President's daily time, correspondence, and travel to ensure that the President is focused on tasks that service key priorities for the organization. The position is also responsible for administrative duties related to operations, including note-taking, facilitation, and legal support.
Principle responsibilities:
Assist President in all aspects of day-to-day operations, including phone, calendar management, expense reporting, travel bookings etc.
Manage deliverables to the President and provide any necessary reporting
Create and edit presentations, documents and reports for the President as required
Develop and maintain appropriate document filing systems, and ensure compliance with records retention procedures
Lead or participate on project teams related to a wide-range of operational matters
Pitch in with office management responsibilities and other outsourced function as a true team member
Other duties as assigned by the President
Ensure confidentiality at all times (this position will have access to highly confidential information)
Based in West Hollywood
Requirements:
3+ years stable administrative experience, with at least 1-year executive experience.
Excellent written and oral communication skills, including the ability to draft correspondences and other communications quickly with minimum direction.
Keen attention to detail with ability to track and manage multiple projects at one time, including meeting strict deadlines
Proficiency with Microsoft Excel, Word and Power Point / general computer literacy
Self-starter with demonstrated ability to work both independently and within a team
Ease in getting along with team members at all levels
Consistency and a high degree of quality in work
Curiosity and a constant interest in learning
Excellent judgment, discretion, and diplomacy
A high level of energy and enthusiasm
4-year degree or equivalent experience

This is a very busy desk with duties that include phones, scheduling, travel etc. Additionally, this high-level administrative position works closely with the President to help execute the organization's strategic, operational, legal and financial goals. The perfect candidate must be incredibly organized, a self-starter, positive attitude and desire to constantly learn. Candidates must have at least one year of experience on a senior executive's desk, and have a genuine interest to learn the business side of our industry.
