If so, you might be the personal assistant our CEO is looking for!
As Personal Assistant to the CEO, you'll be working directly with him, either remotely or from his home in West Hollywood as needed. (Some travel, both domestic and international, is involved.)
You'll be the main point of contact between him and executives, producers, agents, and his team of remote employees. You'll be responsible for ensuring he never misses a deadline or an opportunity, breaks a leg or a promise, forgets his cell phone or a birthday, or finds himself without a place to stay in a foreign country (or in the wrong country).
You must be a highly organized and efficient multitasker. You must be capable of anticipating issues and planning ahead. Our CEO needs to be able to trust your judgment in assessing potential media opportunities, making travel arrangements, and maintaining the company schedule.
We're looking for 2-3 years previous experience as a personal assistant, but a ''no job too small'' attitude and the ability to learn and take direction is key.
Qualities we're looking for:
-Attention to detail. We can count on you to remember the things we'll forget.
-Organizational skills. You're amazing at making schedules, managing appointments, and keeping deadlines.
-Excellent written and verbal communication. You're as clear and concise in your emails as you are updating the team on a call.
-Excellent interpersonal skills. You're friendly, cooperative, and open to feedback.
-Computer and internet savviness. You're comfortable using a Mac and tools like Google Docs, Trello, Zoom, and Basecamp.
-Dependability. You don't mind putting in extra hours when needed, or occasionally working on a weekend.
-Discretion. You understand the importance of privacy and confidentiality in a role like this.
Responsibilities include:
-Overseeing and managing CEO's daily calendar;
-Making travel arrangements and creating itineraries;
-Managing logistics for publicity commitments, speaking engagements, live events, and personal appointments;
-Generating weekly meeting agendas and monthly webinar schedules;
-Maintaining CEO's accounting in paying vendors, staff, and home bills;
-Liaising with house assistant to ensure personal needs are met;
-Managing employees' vacation requests and scheduling team performance reviews;
-Updating CEO on weekly sales, media requests, business requests, speaking requests, and responding to them in a timely manner;
-Invoicing for media appearances, articles written etc., and depositing checks as they are received.
