Please note: though we do represent film and television directors, we are a commercial production company.
The Administrative Assistant is responsible for our Los Angeles office's daily flow, serving as a main conduit between our LA staff, NY staff, our guests, and office vendors and partners. The person in this position oversees the general office management and in addition, he/she/they support(s) the staff with any internal needs that may come up. This includes supporting the Controller with financial data entry and administrative needs.
The position is part-time, hourly. We are centrally located in Hollywood.
Responsibilities include:
• Answer the main phone line and distribute voicemail messages
• Perform daily duties as the front of house reception including making coffee, ordering lunch, guest and visitor traffic management, and meeting scheduling
• Assist the LA and NY staff with any administrative needs
• Assist Financial Controller with payables data/invoice entry
• Maintain the master staff calendar and keep all staff privy to any scheduled meetings or visitors
• Assist in updating and maintaining the master Dropbox
• Liaise with and assist all freelance staff working in-office or making drop-offs or pickups
• Set up and manage phone and Zoom conference calls
• Keep all office, kitchen, and cleaning supplies well-stocked and organized
• Coordinate service and any repairs with office vendors
• Run errands as needed
• Schedule couriers and shipments/deliveries as needed
• Collect and distribute physical mail
• Occasional travel arrangement facilitation
Requirements include:
• Some administrative office, financial assistant, or production experience preferred
• LA area resident, willing and able to commute to Hollywood
• Familiar and comfortable with Microsoft Office programs (Word, Excel, Powerpoint) and Google Email and Drive programs (Docs, Sheets, Slides)
• Mac user preferred, generally tech savvy a must
• QuickBooks knowledge a big plus!
