Accounting Specialist

The Accounting Specialist is an essential support role within the Accounting department. Our accounting needs include our overhead business expenses as well as project specific accounting for our live set productions.

The Accounting Specialist is responsible for heavy data entry, the check printing process through Bill.com, and a variety of daily bookkeeping tasks. The Accounting Specialist will complete and update all accounting entry tasks and logs, including credit cards, project code library, and check replacement process. Additionally, the Accounting Specialist is responsible for on-the-spot requests regarding payments, spend card management or receiving petty cash in-office.

Duties -
General Area:
• Directly reports to CEO for all daily tasks and any potential urgent requests that may arise and fulfill them promptly.
• Responsible for management of data entry, ensuring that it is entered accurately. This includes but is not limited to: invoices, recurring charges, and all credit card charges. Utilizes Bill.com as invoice entry system, but keeps an eye out for accuracy.
• Handles receipt management for company credit cards and overhead expenses.
• Offering support to complete project audits as necessary.
• Approves wire requests in a timely manner.
• Categorizing bank account charges.
• Manages specific client payment portals; submits AR invoices to client and updates email threads when PO's are created.
• Create new vendor accounts and ensure all vendors and/or freelancers are paid properly depending on their tax filing.
• Handles creation of project codes for all departments.
• Working with Human Resources to ensure timely and correct entry of payroll.
• Assisting the Production department with credit card and payment needs.
• Assists Human Resources with Worker's Comp and Insurance for employees (verification and data entry).

Specific Tasks:
• Prepare and submit financial reporting for special projects and internal audits to CEO as requested.
• Record and categorize all bank account transactions.
• Management of credit card accounts for various department cardholders. Receive reports from card holders.
• Coding of internal credit card statements.
• Prepare domestic/international wire and ACH payments upon request.
• Prepares bank deposits.
• Manage online spend card accounts, including but not limited to: requesting additional funds, tracking purchases, management of card inventory.
• Maintains Bill.com payment account.
• And other tasks as assigned.

Qualifications
• Proven prior accounting/bookkeeping experience required.
• Extensive experience in Quickbooks Online software, with knowledge of how to run special reports and charts of accounts.
• Entertainment industry or Production accounting experience. Showbiz experience a huge plus.
• Succeeds in a fast paced environment.
• Deep understanding of accounting principles and practices.
• Excellent listener with ability to follow instructions precisely and efficiently.
• Highly organized with ability to prioritize and keep track of multiple responsibilities.
• Self starter with a desire to create a proactive system that anticipates needs and obstacles.
• Experience with Microsoft suite, Google Suite.
• Works well as a member of a team, but is also comfortable working independently.

Hours: 9:00 AM-6:00 PM, 1-hour unpaid lunch.

Working Location: Due to the nature of this role, it is important that the Accounting Specialist works in office Monday-Friday to accommodate any requests that require an in person accounting presence. Company may change this arrangement at any time per their discretion.
