We are a unique LA based Independent Production and Distribution Company surrounded by a network of industry leaders who are about to take on a new challenge. As such, we have been asked to assist a well-respected Veteran CEO to identify an Executive Assistant able to perform various executive and administrative duties with the desire to grow within the organization. The ideal candidate will have a background in the key areas outlined below:
Ability to perform various executive and administrative support duties
- Meet and greet guests while maintaining the highest level of professionalism
- Ability to use the utmost discretion when handling confidential information
- Must be tactful with personnel at all levels (employees, press, industry, public)
Duties include managing the CEO's internal and external calendar meetings
- Assist with coordinating, confirming, maintaining arrangements for meetings
- Assist with travel arrangements and confirming itineraries and details
- Ability to handle multiple projects and quickly adapt to changing priorities
Oversee phone system, rolling calls, and taking messages
- Duties include handling multiple phone lines and scheduling calls
- Screen calls from press, public, industry leaders exercising good judgment
- Manage priority of calls, providing prompt action in a crisis situation
Assists in compiling reports, meeting agendas, and company lists
- Ensure that event invitation lists and contact information is up-to-date
- Maintains contacts in Outlook (adding, updating, removing)
- Manage all records, files, call logs and various distribution lists and reports
Coordinate travel accommodations and meetings (domestic/international)
- Book personal and professional accommodations (travel, entertainment, etc.,)
- Compile expense reports as well as monthly reports required by management
- Work with outside agencies when necessary
Assistant (3+yrs) in a Corporate, Agency or Entertainment company
- Bachelors' Degree preferred and/or 8+yrs Agency or Entertainment co.,,
- Familiarity with MS Office Products (Excel, Word, Outlook, keynote)
- Must provide a valid driver's license, references, and background process
- Extreme attention to detail, this cannot be over emphasized enough
- Ability to take initiative and prioritize tasks in a fast-paced environment
- Able to adapt to changing circumstances with a calm quick demeanor
