Description:
We are a staffing agency seeking an Executive Assistant on behalf of a senior executive located in Beverly Hills.
We are seeking someone who has a minimum of 3 years' experience as an EA / coordinator for a top entertainment executive. This is not a trainable position.
Duties include, but are not limited to:
• Answering heavy phones, keeping phone logs, rolling calls
• Expense Reports
• Full administrative support and facilities management (i.e. overseeing office and kitchen supplies, mail distribution, etc.)
• Managing calendar, including scheduling meetings
• Human Resources Duties and processing employee paperwork
• Serving as communications intermediary between various office departments
• Occasional errand, lunch, and coffee runs
• Track phone and email correspondence
• Assisting with coordination of projects and events
• Booking travel and preparing detailed itineraries, including preparing travel authorizations
• Special projects as needed
Skills and Requirements:
• Bachelor's Degree required
• Must have minimum of 3 years' experience as an EA / PA for a top entertainment executive
• Thick skinned
• Agency or studio background highly preferred.
• Must be able to work long hours
• Must know names and players in the industry
• Heavy rolling of calls
• PC/Mac savvy; MS Word, Excel, PowerPoint, and Outlook
• Filemaker Pro
• Composing emails
• Must have car to run errands
• Must be Proactive and highly discreet with sensitive information
• Must be poised, detailed, and have great written / verbal communication skills
