Responsibilities
OVERVIEW
To provide a friendly and efficient reception service, making the first step into CNBC a flawless, welcoming and personable experience. The Receptionist and Personal Assistant also provides basic administrative support to CNBC Catalyst employees and assists two Senior Sales Executives with PA support and diary management.
KEY RESPONSIBILITIES
• Answer all incoming calls politely, skilfully and in an engaging manner, taking and distributing messages as appropriate.
• Receive and greet CNBC and Sky News guests, making them feel welcome and directing them as necessary.
• Control diary for meeting rooms.
• Provide basic PA support and diary management for two Senior Sales Executives including booking travel, accommodation and restaurants as required, arrangements for both onsite and off-site client meetings and filing expenses.
• Provide basic administrative support for the CNBC Catalyst team including travel for international meetings, arrangements and logistics for client meetings and other ad hoc administrative tasks such as printing.
• Manage and record the intake and dispatch of all goods (courier packages, Royal Mail post) and correspondence.
• Maintain internal reception directories and procedures ensuring they are up to date and relevant.
• Attend weekly sales meeting to take minutes; typing up in good time and distributing to the Ad Sales team.
• Book taxis / cars as required.
• Raising POs for the facilities team.
• Maintain a clean and tidy reception environment.
• Control the stationery/supplies ordering for the business.
• Be the first point of contact for building related issues such as maintenance/ cleaning/ vending; logging issues with the relevant party and tracking through to resolution.
• Manage the daily fruit and milk supply.
• Ad hoc tasks as assigned.

SKILLS, EXPERIENCE AND REQUIREMENTS
- Excellent organisational skills and ability to deal with many competing requirements concurrently, prioritising on a daily basis.
- Pro-active, confident, enthusiastic individual with excellent interpersonal skills.
Previous experience in a busy administrative role and ability to liaise with senior management in a friendly, professional, helpful and approachable manner.
- Exceptionally self-motivated, self-driven, focused individual
- Excellent MS Office skills
- Professional and discreet with an ability to represent the organisation
- Flexible approach and a team player
