Full Time Job
OVERVIEW
The Newsroom Coordinator provides administrative support to the newsroom employees primarily for travel and supports 2/3 Senior News Executives with basic PA support and diary management.
KEY RESPONSIBILITIES
Organising travel for newsroom employees as required including,
• Booking flights and accommodation via the BCD system
• Organising travel arrangements via trains/cars as required
• Liaising with News Desk on forward planning
• Managing last minute changes to travel requirements
• Focusing on best practice planning to reduce costs where possible
Basic EA support for 2/3 Senior News Executives including,
• Diary management
• Filing expenses
• Meeting and greeting guests
• Booking travel, accommodation and restaurants as required
Administration of News & Operations taxi usage including,
• Meeting with providers to address issues and maintain relationship
• Checking invoices for anomalies
• Sending reminders of cancellations for public holidays
Absence Management system including,
• Logging all sick days for newsroom employees in absence management system
• Liaising with HR Coordinator on general maintenance/troubleshooting of absence management system
General administrative duties including,
• Visa applications for Newsroom employees
• Liaising with HR and IT for the set-up of new hires and freelancers
• Booking of Newsrooms meetings, securing rooms and refreshments as required
• Annual press card applications
• Manage relationship with make-up artist, checking invoices and maintaining make-up supplies as required.
• Help with power point presentations for management meetings
• Maintenance of email groups
Qualifications/Requirements
ABOUT YOU
- Excellent organisational skills and ability to deal with a number of competing requirements concurrently, prioritising on a daily basis.
- Pro-active, confident, enthusiastic individual with excellent interpersonal skills.
- Previous experience in a busy administrative role and ability to liaise with senior management
- Exceptionally self-motivated, self-driven, focused individual
- Excellent MS Office skills
- Professional and discreet with an ability to represent the organisation
- Eligible to work in the UK
- Sense of humour is essential
- Ability to quickly understand the dynamics of the media business
