Full Time Job
Responsibilities
The HR Coordinator is responsible for providing comprehensive HR operational support across CNBC Asia Pacific. This role reports to the HR Manager, CNBC Asia Pacific and will work closely with the HR Generalist in London and the wider HR team in NBC Universal to ensure a consistent approach across the business.
HR Information Systems (HRIS)
• Maintain and update employee database in an accurate and timely manner (SAP and eDays)
• Support employees, managers and members of the HR community to self-serve using HR technology
Employee Life Cycle
• Assist and support in the starters/leavers process
• Administrator and support in maintaining employee life cycle records, including preparation of merit and bonus letter, changes in contract and letters distribution
• Prepare contracts and letters for new and/or existing staff
• Manage new hire background checks, ensuring completion and recording on HRIS.
• Ensure that all induction pack and offer letter materials are current, in stock and that all forms and documents are neatly typed and photocopies are of good quality
• Responsible for creating, updating and managing employee personnel files.
• Create new hire in HRIS database, send new hire's information to manager for access request prior to start date
• Assist line managers in ensuring new hires have the right onboarding experience including first day welcome, collecting all documentation and sending follow up email with information on benefits and useful links.
• Ensure probation periods are reviewed by line managers and any performance issues addressed in a timely manner. Issue letters confirming outcome of probation reviews
• Responsible for planning and coordination of induction sessions and other HR related events
• Provide administrative support for any restructures and redundancies as required
Payroll & Benefits
• Work with payroll team to provide accurate and timely data for monthly payroll process
• Provide data to benefit providers on employees changes including new joiners, life cycle changes and leavers
• Liaise with benefit provider for escalation and feedback employee benefits/insurance matters
• Ensure that all employee benefits applications are processed in timely manner, e.g. New born, marriage Vouchers, long service awards
Employee Services
• Provide first line resource assistance for employees and managers
• Facilitate employee experience through timely and pro-active support
• Escalates to HR Manager in case of complex queries where required
Others
• Ensure that all local regulations are in compliance for all employee matters
• Responsible for generating HR reports when required
• Responsible for completing government surveys where necessary
• Provide support on external queries such as background checks for ex-employees and employee certification letters
• Liaising with work-visa vendor on all employment visa matter for employees
• Participate in HR projects and process improvements where applicable
• Collaborate with other HR coordinators across the Asia Pacific region to ensure consistency in process and procedures
• Prepare freelancer contracts and keep the database of all active freelancers up to date
Qualifications/Requirements
- Experienced Administrator in a HR environment
- Strong organization and prioritization capability
- Excellent digital fluency skills including strong knowledge of Microsoft Word, Excel, PowerPoint and Outlook
- Proven experience in a busy, multi-tasking environment
- Familiar with Singapore Employment Law and Hong Kong Employment Ordinance
- Familiar with local regulations in relation to Payroll activities
- Experience in SAP systems would be considered beneficial
- Methodical, accurate and organised with a high attention to detail
- Excellent communication and interpersonal skills
- Must be able to maintain a high level of confidentiality and discretion in handling sensitive information
- Previous experience of process improvement in a HR environment would be highly advantageous
- Strong team player with a proactive attitude and approach to work
- Professional and calm manner
- Fluency in Mandarin would be highly advantageous
