Position Summary
Responsible for the administration of weekly payroll for approximately 800 seasonal associates in compliance with all federal and state laws, corporate and union regulations. Provide support to the HR Department as needed. All in accordance with the Company's GuestPath Universal Service Standards and applicable Operational Standards.
Essential Functions:
• Process weekly payroll for all hourly associates as directed by company policies.
• Input all associate hours including gratuities, commissions, incentives, bonuses, reimbursements or any other earnings/deductions.
• Responsible for maintaining timekeeping system and its data.
• Process all paperwork and interfaces accurately including but not limited to; new hires, pay rates, direct deposit information and address changes. Ensure adherence to paperless payroll philosophy.
• Handle associate inquiries regarding payroll discrepancies including the research and resolution of discrepancies in a timely manner
• Sort, verify and distribute all weekly payroll checks in accordance to the check distribution procedure.
• Prepare and distribute all weekly payroll reports ensuring accuracy and confidentiality
• Prepares, verifies and processes invoices. Processes journal vouchers and checks for payments.
• Bills and credits accounts involved with the accounts payable system.
• Prepares and mails bills or statements, and prepares lists of outstanding bills payable. Assist in auditing and processing invoices from outside vendors under direction of the accounting manager.
• Files and maintains clerical records and reports pertinent information to accounting and bookkeeping or technical operations.
• Manage all payroll records and files
• Maintain and track all union dues according to the Collective Bargaining Agreement
• Additional payroll processing duties as needed and/or requested
• Manage the general office duties tracking and ordering office supplies, packaging supplies, phone lists, and radio inventory.
• Prepares operational reports, including presentations.
• Follows up on projects and compiles data as assigned.
• Performs other duties as assigned.
Non-essential Functions:
• Assists with preparation of month-end reports, and analysis.
• May prepare daily bank deposits, under direction of supervisor.
• May audit and proof accounting or other reports for clerical accuracy and conformance to departmental, county, and state procedures.
Education & Experience:
College level coursework or HR/payroll or Accounting experience preferred.
Knowledge, Skills & Abilities:
Computer skills including Word, powerpoint, and Excel.Previous administrative experience preferred.Proven ability to prioritize work responsibilities. Confidentially, ability to appropriately handle challenging situationa and high-level of professionalism.Reads, speaks and comprehends English effectively.Performseffective verbal and written communication with all members of the organization.Ability to work in a diverse and continually changing environment.Represents the organization in a positive fashion to all business partners and the general public.Physical Requirements:Ability to work extended days and hours, primarily evenings and weekends, based on schedule needs.Ability to sit or stand for an entire shift.Ability to lift and carry items up to 25 lbs.Environmental Working Conditions:
May be exposed to variable temperatures, including extreme hot and cold, depending on season.
