Job Title: Special Events Sales and Event Coordinator
Reports To: Special Events Sales Manager
FLSA: Hourly/Non-exempt
Job Purpose: To assist with Special Events sales and event coordination including non-baseball and internal events as well as providing administrative support to the department.
Essential Duties and Responsibilities:
• Manage Special Events email inquiries and filter online inquiries to Sales Manager.
• Manage all internal meeting requests on the Reds (staff) portal. This includes approving date requests, building event(s) in online managing system and execute setup/AV needs for the internal customer.
• Coordinate and execute all game day meetings in addition to assigned non-game day meetings.
• Coordinate and work events as needed in the off-season, non-game days and during the busy holiday seasons.
• Create room diagrams for assigned events.
• Maintain positive and open communication and collaboration between the Cincinnati Reds, DNC, third party vendors, and customers.
• Coordinate room break down and set up for all events, fulfilling contract to specifications.
• Provide customer support to customers.
• Assist with compiling data on all staffing assignments for all events/event summaries while ensuring that each are sent 7 days in advance of the event date.
• Provide administrative support including preparing sales collateral and site tours, customer support, and work orders.
• Manage the parking calendar for Special Events, attend monthly parking meetings and communicate to team.
• Perform elated duties and special projects as assigned.
Knowledge, Skills, and Abilities:
• Ability to coordinate meetings and social events, which includes obtaining detailed information from customers and communicating to team.
• Ability to assist and manager a diverse group of customers.
• Candidate must be out-going and have exceptional interpersonal skills.
• Independent judgment is required to plan, prioritize, and organize a diversified workload. Must be able to multi-task.
• Candidate must have knowledge of office administrative procedures and knowledge of use and operation of standard office equipment and computer software applications including Microsoft Word, Excel and Power Point, Adobe Illustrator, etc.
• Candidate must be able to handle sensitive and confidential situations as well as demonstrate poise, tact and diplomacy.
• Work requires continual attention to detail and the ability to establish priorities and meet deadlines.
• Work requires an excellent command of the English language.
Work Environment:
• Work is performed in a typical interior/office work environment however employee may have ''game-day'' responsibilities where the employee may be exposed to weather conditions prevalent at the time.
• Hours may include nights, weekends and holidays, long hours are normal.
Expectations:
