CID Entertainment is seeking a full-time Touring Project Manager to oversee all tour elements from start to finish. Once the tour is secured through CID Executive Management, the Touring Project Manager immediately begins to organize the contacts, information databases, program development, customer service processes and assembles internal and external resources to effectively produce a superb VIP experience for all guests and clients. The most important aspect of the Touring Project Manager's job is to develop communication between the various company departments and company partners to ensure that everyone involved is aware of the VIP operation, as well as the timeline of goals and expectations.
DETAILED DESCRIPTION / RESPONSIBILITIES
-Organize and/or engage in advancing tours and VIP elements with production companies and venues for VIP events
-Creatively build VIP programs and VIP merchandise offered in packages while VIP program is still in development
-Source quality merchandise to use in various VIP packages
-Coordinate logistics for merchandise delivery and distribution of VIP merchandise to guests
-Organize and develop event specific VIP outreach programs with customer service team
-Acquire necessary contacts to develop production and coordination of VIP program
-Communicate with production and event contacts regularly to ensure projects are developed properly & resources are being delivered
-Build spreadsheets and information databases to track program development
-Source CID administration materials needed to work event and coordinate delivery
-Develop contacts in order to source reliable staff for events
-Oversee the delivery and administration of staff contracts for events under managerial control
-Ensure that event ticketing and payment administration of event tickets is handled in a timely fashion
-Work with venues to ensure VIP programs meet building policies and resolve issues resulting from program development
-Coordinate the shipment of signage and materials needed for event
-Monitor ticket counts to adjust venue needs and merchandise inventory
-Develop welcome letter explaining VIP program
-Work with catering to ensure staff meals are on schedule and as planned
-Create and place signage along walking routes for guests to understand the operation
-Administrate all private transportation receipts and payments through CFO to ensure timely settlement
-Distribute security protocol and credential sheets to production, management and security contacts
-Seek sponsors for food program to receive the best pricing available
-Monitor response to venue surveys and organize information given to plan each VIP party on the tour
-Manage and collect hotel folios
