Interim Associate Director of Gift Operations & Reporting: Please note, this is an interim position.
POSITION TITLE: Interim Associate Director of Gift Operations & Reporting
REPORTS TO: Director of Advancement Operations & Analytics
WORK SCHEDULE: Full-time temp
STATUS: (Exempt/Non-Exempt):Non-exempt; Full-time Temp for Maternity Leave (4 months
minimum)
COMPENSATION: Hourly
DEPARTMENT: Institutional Advancement
POSITION SUMMARY
This interim role will be a project focused position that will work closely with the Director of Advancement Operations & Analytics in developing, executing, and documenting systems that will help drive the department's budgeting, forecasting, and risk assessment process for fundraising revenue.
PRIMARY RESPONSIBILITIES
1. Project manage and support the full implementation of the Tessitura database for fundraising progress tracking and financial reporting.
a. Maintain the accurate movement of contributed revenue projections as gifts and pledges are secured and entered, or as cultivation efforts progress with front-line fundraisers.
b. Help facilitate monthly projection review meetings to analyze the movement of risk in each revenue line and determine if budgets need to be adjusted based on current performance.
2. Plan and execute the alignment of planned gift and endowment activity in CTG's Tessitura database.
a. Collaborate with Finance department to determine best method for gift accounting and entry in Tessitura to properly support financial ledger reporting needs.
b. Work with Music Center Foundation staff to audit and reconcile all previously recorded planned and endowment gifts to align database reporting and provide donor's full giving histories.
c. Partner with front-line fundraising team to develop and implement appropriate tracking for active planned gift prospect conversations and intentions.
3. Collaborate with Finance team to develop and implement the use of a program P&L statement to help surface anticipated funding opportunities and maintain projected budget costs for ongoing grant reporting.
4. Study, perform, and document standard gift accounting procedures to begin building formal department policies and manuals for internal and external use.
a. Collaborate with Finance department and advancement team to insure monthly reconciliation of revenue and expenses against financial ledger.
b. Maintain the monthly audit and review of all open pledge commitments and the subsequent communications needed to collect on current due pledges.
c. Partner with Advancement Operations Associate in the coordination of all gift tracking systems including processing and updating gift records in Tessitura database.
5. Other duties and projects as assigned.
CTG provides a dynamic working environment in which duties and responsibilities may change. Employees are expected to be flexible and responsive to changes in the scope of their duties.
QUALIFICATIONS Four years of college from an accredited college or university, or equivalent work history required. 3+ years' experience and proven success in a finance or fundraising position, required. Must be proficient in Microsoft Office applications and database systems, specifically Tessitura. Outstanding attention to detail, project management skills, and an ability to prepare timely and accurate financial reports. The ideal candidate will be an excellent communicator, personable, and have an interest in theatre.
