Overview:
Are you a sports fan with experience in production, broadcasting and supporting executives? We are hiring a new Production Coordinator to support 2-3 executives in the Production Department and assist the entire department with all phases of live studio and game productions. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.
Responsibilities include but not limited to:
• Create and distribute weekly documents/reports
• Work with executives to create and distribute monthly production schedules
• Plan and execute NFL, Big Ten, College Basketball, and NCAA tournament seminars
• Track budgets, purchase orders, and invoice processing
• Manage payroll for freelance researchers and studio support
• Coordinate with Office Manager for any office related issues/projects
• Create and manage spreadsheets for credentials
• Manage awards submission and processes for Emmys and other awards
• Assist with ad hoc projects
• Manage and coordinate all calendaring and administrative tasks for Production Executives
• Book and manage all travel for executives, including flight, hotel, dinner and car services/rentals
• Coordinate, plan and execute meetings with internal and external partners (including meal catering)
• Plan and execute team gatherings/dinners on site and home
• Reconciling expenses for executives
• Handle weekly shipping of on-site swag and marketing materials to crews
• Ordering seasonal merchandise and keeping inventory
• Be onsite for larger sports events (i.e. Final Four)
• Handle sensitive information with utmost confidentiality and professionalism
Basic Qualifications
• Professional experience in production or providing executive or administrative support
• Knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
Additional Qualifications
• Ability to quickly adapt to new office applications (i.e. Oracle, Zoom, Smartsheet, Google Suite)
• Working knowledge of technology and social platforms (iPhone, Mac, PC, Instagram, YouTube)
• Excellent written and verbal communication skills
• Strong organizational and time-management skills with the ability to multitask effectively
• Ability to engage with all levels of management and talent (including C-Suite and upper management)
• Demonstrated ability to work independently and collaboratively as part of a team
• High level of integrity and professionalism, with a proactive and positive attitude
• Have a “no job is too small” mindset
• Able to work weekends, holidays and off-hours when needed
• Willingness to travel
• Passion for sports/broadcasting is a PLUS!
