JOB TITLE: SCHEDULER
Level: Manager
Location: San Francisco Bay Area Preferred (25 mile max radius to San Francisco / SOMA recommended.)
Report: This role will closely collaborate with Directors of Curation, Director of Clearance & Acquisition, and Account Managers. Temporarily reporting to the Head of People Ops while an Operations structure gets further defined.
Objective:
Oversee the scheduling of all projects from bid stage through their lifecycle. This person will be responsible for booking Curation and Clearance & Acquisitions project teams and optimizing for maximum utilization. The Scheduler will assign the work with respect to project scope and specs, team-member expertise, and timelines given all projects in all phases as they move through their pipeline, while balancing available resources. The Scheduler is departmentally agnostic and will align priorities to ensure timelines and deadlines are achieved.
What You'll Work On
Act as the liaison between the Account, Curation, and Clearance & Acquisitions teams to oversee the project calendar. The Resource Scheduler has the authority to determine what projects get scheduled when with consideration to all team needs.
Attend recurring team meetings to ensure up-to-the minute project pipeline knowledge so that projects efficiently flow through the teams.
Own, maintain, and use Mavenlink to manage and assess contractor availability, forecast availability for Account teams, and maintain utilization dashboards
Book contractors using a system typically used in the Production / Post-Production world (while also identifying areas for process improvements and communication across stakeholders)
Foster relationships with our contractor project teams to maintain connectivity
Work with Stakeholders if schedule changes mid-project and ensure Account Managers are informed of any potential overages
Verify and reconcile project team hours daily and monthly for client budget actualization as well as contractor invoicing
Work closely with People Ops on maintaining contractors' status and overall relationship with C&R
Avert possible conflicts and ensure project staff coverage so that we're never in a position to turn away business
Be proactive in identifying potential scheduling conflicts and communicate to stakeholders who can then set client expectations accordingly
Who We're Looking For
3-5 years experience in Post-Production Scheduling, Resource Management, or similar preferred
Ability to juggle multiple people and projects and conflicting priorities / deadlines in a fast-paced environment
A knack for thinking outside the box to find creative solutions and strong problem solving skills
A track record of maximizing efficiencies
Strong cross-functional skills and a flair for working diplomatically
Excellent communication and organizational skills
Excitement about disrupting the media industry with technology
Comfort in a fluid start-up and distributed working environment
Ability to work independently and reliably in a fast-paced environment under tight time frames, with minimal supervision, simultaneously embracing C&R's culture of collaboration and transparency.
Eagerness and willingness to learn and ask questions about things outside of own domain expertise
Someone who wants to be part of a San Francisco based exciting start-up.
Bachelor's Degree in a related field or equivalent
Knowledge of Mavenlink and Salesforce.com an added plus.
