Job Description
The Role
The world's leading full-service entertainment, media, and sports agency is seeking a Recruiting Assistant to support their corporate Human Resources department in Los Angeles. This assistant will directly report and provide support for two Sr. Recruiters dedicated to finding the best talent to work in a variety of support and professional level functions across the business. This role is not eligible for promotion into the talent representation and agent track.
In addition to traditional administrative and clerical duties (i.e. answering multiple phone lines, follow up, and data tracking and entry) qualified assistants will take an active role in the recruitment process by scheduling interviews and meetings, answering applicant and candidate inquiries, utilizing the applicant tracking system to enter and track candidates, and performing any special projects as requested. The position provides an opportunity to learn about the full life cycle recruiting process within a dynamic entertainment company.
Responsibilities
• High volume of preliminary phone screens, and scheduling of candidates.
• Heavy facilitation and coordination of the interview process via phone and in person.
• Managing call logs, messages, and communication with hiring managers.
• Heavy calendar maintenance, serving as primary gatekeeper, providing structure surrounding access to Sr. Recruiters calendar. Maintain an awareness of the Recruiter's obligations, in order to proactively assist and/or anticipate needs
• Responsible for applicant management/tracking and providing support to applicants surrounding the Applicant Tracking System
• Utilize effective communication and follow-through while acting as a dependable point of contact for candidates
• Conduct reference and background checks for candidates as needed
• Opportunity to assume increased responsibility including posting job descriptions, applicant sourcing for open positions, extending offers to candidates, and processing new hires through HRIS.
• Assist the HR team with key initiatives, ad hoc projects, and other tasks as needed.
Qualifications
• BA/ BS Degree preferred
• One or more years of experience as an assistant
• Knowledge of Recruiting/HR preferred
• Strong command of the Microsoft Office suite
• Experience with ATS/HRIS is a plus
• Workday experience is a plus
• Strong customer service orientation
• Adept at quickly learning new processes and technology.
• Ability to work well under pressure; meet tight deadlines; manage multiple projects and expectations; and maintain a sharp focus while managing competing priorities in a corporate environment
