Summary Objective
The Benefits Manager & HR Analyst position is a blended role encompassing HR Analytics and Benefit Management. The role is responsible for the strategic and day-to-day operations of group benefits programs (health, dental, vision, accidental death and dismemberment, life insurance, 401(k), deferred compensation plan, vacation, paid sick time, and employee assistance program). The benefits manager investigates new benefits programs, improves existing programs, and oversees and monitors benefits administration. In addition, the Benefit Manager's blended role conducts studies, performs research, and analyzes data to recommend policy, program, or process improvements, and manage projects that include all functional areas of human resources, not limited to benefits.
Duties
1. Determine eligibility and administer various employee benefits programs, such as group health, dental, vision, accidental death and dismemberment, life insurance, 401(k), deferred compensation, vacation, paid sick time, and employee assistance program.
2. Serve as primary contact for plan vendors, third-party administrators, and other key stakeholders. Coordinate transfer of data to external contacts for services, premiums, and plan administration.
3. Conduct benefit orientations and explain benefit self-enrollment system to employees.
4. Ensure and maintain the accuracy of all benefit enrollments in the HRIS to provide vendors and payroll with accurate eligibility information.
5. Handle benefits inquiries and complaints to ensure quick, equitable, and courteous resolution. Assist employees with health, dental, life and other related benefit claims.
6. Generate monthly premium statements for all group insurance policies and maintain statistical data relative to premiums and costs. Resolve billing discrepancies with the carrier representatives.
7. Prepare and set up meetings designed to help employees obtain information and understand company benefits. Ensure distribution of required employee notices.
8. Coordinate daily benefits processing. Handle enrollments, life events, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, workers compensation, hardships and compliance testing.
9. Develop communication tools to enhance understanding of the company's benefits package. Design and distribute materials for benefits orientations and open enrollment.
10. Assists with the open enrollment process including installing approved new plans or changes to existing new plans in the HRIS.
11. Process and administer all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA. Effectively interprets FMLA and ADA implications as they relate to leaves of absences/disabilities.
12. Respond to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts. Prepare for, execute, and draft communications for the transition to a new 401(k) record keeper and TPA.
13. Review and interpret data, conduct studies, perform research, and prepare reports to recommend policy, process, or program improvements. Analyze and prepare statistical and analytical information to support SVP Human Resources and HR Business Partners. Track trends and developments in assigned areas. Manage special projects.
14. Evaluate internal processes to reduce costs, increase efficiency, and improve customer service. Document and maintain administrative procedures for assigned benefits processes. Ensure compliance with applicable government regulations. Ensure timeliness and accuracy of required reporting and fees.
15. Prepare and maintain employee, new-hire, attendance, and other requested reports as needed.
16. Provide support for HRIS, including researching and resolving HRIS problems, unexpected results or process flaws; performing scheduled activities; recommending solutions or alternate methods to meet requirements. Maintain awareness of current trends in HRIS with a focus on product and service development.
17. Other duties as assigned.
Required Education and Experience
1. Bachelor's degree and five to seven years of related benefits or employee benefits administration experience.
Preferred but not required Education and Experience
1. PHR/SHRM-CP or SPHR/SHRM-SCP and CEBS professional designations.
Additional Eligibility Qualifications
1. Computer proficiency and technical aptitude with the ability to use Microsoft products, including Excel, experience with HRIS and benefits databases.
2. Ability to work effectively in a team environment with associates. Capability of effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
3. Strong analytical skills.
4. Knowledge of benefits contract language.
5. Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, Medicare, and Social Security and DOL requirements.
6. Excellent communication and organization skills.
