We are looking for an Office Manager for our Downtown Los Angeles office.
Your responsibilities will include coordinating office operations and processes in order to ensure maximum productivity for our team. You ideally have experience in handling administrative and executive support while dealing with tasks that evolve day to day. You thrive working independently but also work well with a team. You are adaptable and flexible to changing organizational needs, and understand that collaboration is important in this fast-paced environment. This is a growth position. We expect a year commitment at minimum.
Responsibilities
• Greet office visitors
• Answer and direct phone calls
• Support with client services and requests
• Receive incoming shipments/mail and distribute
• Process and coordinate outgoing shipments/mail
• Support meetings
• Maintain and order office supplies
• Coordinate needed services with vendors
• Generate emails, memos and reports as appropriate
• Manage conference room and production conference line schedules
• Welcome production teams and introduce to office procedures
• Track daily activities in the office, create awareness and plan accordingly
• Place weekly grocery orders
• Keep office orderly
• Support Management with research, travel and other admin duties
Qualifications & Skills
• Excellent written and verbal communication skills
• Self-starter who is able to multitask and work well under tight deadlines.
• Stellar organization and follow-through
• Positive attitude and warm demeanor
• Proactive with the ability to anticipate future needs
• Proficiency in Microsoft Office suite
• Knowledge of iWork preferred
