The Role
The Creative Operations Resource Manager role manages the resource planning, allocation and scheduling across our creative department. The Resource Manager is our creative department hub, a talent finder and a leader that ensures projects and teams are properly staffed and run efficiently to meet deadlines and client needs.
The Creative Operations Resource Manager has three areas of responsibility (specific duties of each are explained below):
1. Planning, Analyzing, Evaluating
- Work with Executive Creative Director to assess talent needs, acts as point of contact to book and confirm talent
- Evaluate best team makeup for assigned projects
- Work with Client Services Team to understand client engagement statements of work and funding that drive resources and deliverables
- Balances east coast and west coast workloads
- Proactively builds on a pre-existing network of contacts
- Assists in locating all agency talent / freelance needs
- Manage and resolves resource booking conflicts
- Manage resourcing forecast spreadsheets based on input from Client Services Team
- Maintain constant knowledge of current and upcoming projects and business development activities
- Monitor day to day resourcing, identifying potential instances of underutilization and actively work with department leads to address and solve those issues
- Recommend process improvements for Resource Management
- Escalate issues related to group rotations, retention or employee relations, workflow and projected staffing needs
- Provide QA support before deliverable is sent
2. Team Leading, Coordinating, Managing
- Manage communication around shifting priorities with key stakeholders
- Monitor staffing and resources against assigned projects in order to meet project deadlines and budgets
- Maintain communications with appropriate personnel to ensure positive workflow. Escalating exceptions and issues to Director level as required
- Champion new internal systems for higher productivity working
- Run weekly resource meeting and facilitate resourcing issues / conflict resolution with Client Services Team and appropriate Department Heads
3. Financial & Administrative
- Track availability of all agency staff members
- Manage freelance and contract worker relationships
- Run and analyze monthly utilization and billability reports
- Analyze any staffing trends and apply findings to future needs
- Provide quality assurance on projects
Qialifications:
Degree in Communications or equivalent experience
3 - 5 years of Planning and Forecasting experience
Experience with Google Suite
Trello or other project software experience
Experience with Adobe Suite (Photoshop, Illustrator, After Effects, Premiere)
