Personal Assistant
Manhattan based independent production company headed by well known producer seeks qualified personal assistant to the CEO.
An ideal candidate will have experience in the film industry and in office setting preferably as an assistant or with an agency. Understanding of the workings of an office are a must as is organization, intelligence and drive. Required are a knowledge of the industry and its players and will be comfortable working in a fast paced, high pressure environment.
General responsibilities:
Daily management of all scheduling, all appointments and conference calls domestic and international.
Handling phones and insurance claims
Reporting to CEO who will prioritize responsibilities, delegate tasks and approve all correspondence
Maintain daily agenda book and itineraries ( Summary of individual schedule; Working document, log of events- catch all for communications)
Place orders for gifts and supplies as needed
Take care of basic payments and scheduling appointments
Manage and Follow up on incomplete assignments
Set up business and personal meetings
Coordinate and assists with travel plans
Maintain monthly calendar- a working document - catch all for conflicts and reminders
Keep track of ongoing responsibilities of principal by creating daily 'to do' document
Organize special events, parties, meetings, rsvp lists
Process expense reports of 2 credit cards
Draft correspondence
Once all daily admin is running smoothly ad hoc projects will be added to duties
Requirements
Punctual

Excellent working knowledge of Gmail and Google Calendar
Detail oriented with strong proofing skills
Ability to work in fast paced and often changing environment
Problem solver - thinks quickly
Excellent time management skills multi-tasker who can switch from one priority to another
Ability to anticipate principal needs and questions
Researcher skills to find emails
Process oriented
Good memory and ability to keep track of lots of information
Extremely thorough with keen attention to detail and ability to anticipate CEO's needs
Ability to take direction and follow instructions, proactive
Mac computer savvy with Microsoft OfficeSuite.
Must know how to organize and maintain calendars
Anticipate possible conflicts
Re-confrim meetings
Good written and oral communication skills
Great organization skills
Understands that the utmost in confidentiality and discretion is required
Know how to prioritize Executive and personal tasks and follow up on incomplete assignments
Ability to multi-task, anticipate and switch gears quickly
Must be able to pass a comprehensive background check
Verifiable references
Bilingual English/Spanish would be an asset (not indispensable)
This is a full time position, to start immediately.
