Full Time Job
Assist the Executive Director and take on special projects for the Classical department as a whole by performing the following functions:
Classical Relations and Administration:
• Prepare detailed quarterly financial analysis of classical music composers and publishers using Royalty Distribution ledger information.
• Organize and process internal paperwork for all new classical composer and publisher affiliations.
• Process all incoming classical music International Performance Reports from classical music composers and publishers including title validation against PARIS database.
• Participate in the ongoing development of the CISAC NLP (Notification of Live Performance) system in FastWeb.
• Maintain classical music databases and mailing list addresses for classical music composers and publishers; maintain email database of classical composers.
• Monitor and respond to incoming email for the general Classical inbox.
• Answer phone calls to the Classical department, and assist composers over the phone with the online works registration system
• Sort, organize, and distribute extensive incoming departmental mail for both the Classical department, which receives over 300,000 concert programs annually in addition to regular correspondence.
• Prepare general correspondence for supervisor, including large-scale quarterly and annual mail-merge letters to composers and publishers.
• Prepare all documents for digital filing.
• Maintain and order all office supplies and stationery for Classical department.
• Supports our BMI Values and cultivates a culture of diversity and inclusion.
• Regular attendance.
• Other duties as assigned.
• Classical Distribution
• Perform data entry of approximately 3,000 non-college chamber music performances into Access with performance category, date, licensee and number of performances.
• Analyze concert programs from college sources for BMI repertory and potential BMI classical affiliates.
• Complete all adjustments, releases and void/re-issue requests for classical composers and publishers.
• Assess college-age BMI-affiliated composers who are not Schedule 4 and contact them when they have live classical performances to register works and/or update their affiliation to classical.
• Licensing
• Research background and contact information on leads for new classical licenses to report to the licensing sales team
• Assist with licensee report form evaluation (assists the licensing department in determining licensing fees based on BMI repertory use), especially with large-scale presenters such as Carnegie Hall
• Assist with copyright research and analysis of playlists of classical repertory from licensees on behalf of the licensing department for fee negotiations.
• Special projects
• Assist with both preliminary and final judging days of the Student Composer Awards: analyze judge’s rankings, organize digital sound files, print top-rated scores for judging meetings, and assist the Director of the awards with record keeping during meetings.
• Assist the Director with initial review of over 700 applications annually (October – February)
• Organize and maintain invitation lists and RSVPs for classical events
QUALIFICATION REQUIREMENTS
• Bachelor’s Degree in music or a related field. Knowledge of and interest in classical composers and contemporary classical repertoire
• Minimum 2 years of experience in music business
• General music business knowledge and understanding of copyright issues relevant to music performance (classical and/or general)
• Knowledge of MS Office: Word, Excel, and Access
• Excellent research skills
