Job Summary:
BigStar Motion Design is seeking an Office Manager for our NYC studio. The ideal candidate is an energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and office maintenance duties and executive support-related tasks, able to work independently, well-organized, and flexible. Though this position is administrative, it is also culture-focused. The Office Manager should genuinely enjoy working with and supporting our team of creatives. This is a full-time staff role with benefits and will require working onsite some days.
Responsibilities:
- Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands
- Organize and schedule meetings and appointments
- Manage calendar of ECD/Founder
- Partner with HR to maintain office policies and manage staff documentation as necessary
- Organize office operations and procedures
- Coordinate with IT department on office equipment and tech needs
- Manage relationships with vendors, service providers and building staff, ensuring that all items are invoiced and paid on time and office functions are up to par
- Maintain a healthy and enjoyable office culture
- Manage internal staff relations
- Front of house duties including answering phone calls, greeting guests, clients, etc. with a welcoming attitude
- Help coordinate staff activities and events
Qualifications:
- General positive attitude, energy and passion for creating a great work environment
- Proven office management, administrative, or assistant experience
- Knowledge of office management responsibilities, systems, and procedures
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Ability to develop, present and implement new initiatives, processes and procedures
- Bonus points if you are passionate about the motion design industry
