Job Summary:
As a key member of the staff, the Coordinator will process payroll, hire and assign union crew members, produce and distribute cost reports, and coordinate crews with show producers, construction coordinators, and other key members of show production teams.
Duties:
Manage and Schedule Crews
• Assign crew based on daily/weekly production needs
• Email crew lists to key grips, leads, BSI staff and productions
• Maintain time off list
• Ensure crews are following correct policies and are current on safety classes
• Conduct safety training as needed
• Monitor sick days and days worked
Coordinate with Productions
• Determine crew needs based on work schedules
• Email daily hot costs (cost reports) to productions and answer any questions
• Acquire purchase orders for 3rd party productions
• Provide estimates for upcoming work
• Acquire production company contact and billing information for accounting
Maintain Rover Database
• Enter daily logs based on crew timesheets
• Ensure proper show coding, pay rate, hours worked, night premium and meal penalties
• Generate hot costs that include labor hours and associated costs
• Enter new crew and productions into database
Generate Timecards
• Create weekly timecards based on daily logs
• Ensure hours worked, pay rates, night premium and break times
• Enter mileage, kit rentals and any additional clarifying information
Miscellaneous
• Schedule and confirm COVID-19 testing; facilitate test results with productions as needed
• Arrange studio and stage access
• Attend safety meetings and disseminate information to crews
Qualifications:
Minimum 5 years' experience in television production, on set or in office setting
Required Education:
Bachelor's Degree in media-related field or equivalent work experience
