Office Manager / Assistant to the COO:
Key Responsibilities:
• This position fills two key roles - Assistant to the COO and Office Manager. This is the ''Swiss Army Knife'' of the company. The candidate should thrive in finding creative solutions to unique and timely problems, i.e. whatever the COO and the company need.
• Keeping the COO organized and manage their schedule to maximize efficiency and productivity.
• Should be highly organized and able to manage multiple projects at once.
• Will include some personal tasks & errands for COO/CEO.
• Typical assistant duties: scheduling, filing, travel coordination, etc.
• Works with COO to develop/execute procedures & policies for administrative activities.
• Works with COO to manage & monitor office budgets and operational costs.
• Assists in onboarding for new employees.
• Coordinates with IT as necessary for office systems and equipment.
• Plans companywide events, such as parties, celebrations, and conferences.
• Manages record-keeping, document preparation, mail distribution, reception, bill and invoice processing, and other related internal operations.
• Coordinates resources to troubleshoot, determine the best solutions, and solve problems.
• Perform miscellaneous projects as needed.
• Maintain physical and digital filing systems.
• Develop initiatives related to company culture and employee wellness.
• Optimize the office's operational procedures, order supplies, equipment, and oversee general office maintenance
Qualifications:
• A BS/BA degree or higher.
• Excellent verbal, written, and interpersonal communication skills.
• Highly organized with the ability to manage multiple projects & tasks in a high paced environment.
• Proficiency with Apple + Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
• Strong relationship development skills.
• Self-starter who works well in a team environment and is highly motivated for success.
