Job Title: Office Manager & Sales Operations Assistant

Overview:
Responsibilities
What You'll Do:
This role is divided into three interconnected areas, with a primary focus on systems, organization, and employee support:
Office Management & Systems Creation:
• Operational Excellence: Serve as the central hub for the entire office, ensuring all administrative functions operate efficiently and seamlessly.
• Staff Support: Act as the first point of contact for employee administrative needs, assisting managers and department heads with various requests to free up their time to focus on core business objectives.
• System Development: Identify and implement new or improved office systems, procedures, and tools for better file management, communication, and resource tracking.
• Office Environment: Manage all facility aspects, including coordinating maintenance, overseeing cleanliness, and ensuring the office is professional and fully equipped.
• Supply Chain: Oversee inventory, purchasing, and stocking of all office, breakroom, and administrative supplies, managing vendor relationships and budgets.
Sales Operations Support:
• Process Facilitation: Streamline the workflow between Sales and other departments (Traffic, Programming, Business) to ensure timely and accurate execution of client campaigns.
• Documentation: Assist Account Executives (AEs) with high-level preparation of sales proposals, presentations, and client correspondence, ensuring all materials are professional and error-free.
• Traffic Support: Support the team with the accurate and timely entry of advertising orders, production orders, and schedule changes within the station's traffic software.
• Reporting & Data: Compile, generate, and distribute essential sales reports, including pre-logs, post-logs, and revenue summaries, to aid the General Sales Manager (GSM) and AEs in tracking performance.
General Administration:
• Front Desk Leadership: Manage the multi-line phone system and serve as the professional first impression for all visitors, clients, and listeners.
• Executive & HR Support: Provide confidential administrative assistance to the Market Manager and HR functions, which may include managing calendars, processing expense reports, and assisting with new-hire paperwork.
• Logistics: Coordinate incoming and outgoing mail, packages, and deliveries.
Qualifications
More About You:
Required & Preferred:
• 2 years of proven experience in an office management, high-level administrative assistant, or operations assistant role. Experience in media, broadcasting, or a high-volume sales environment is preferred.
• A ''system thinker'' with a demonstrated ability to create structure, identify bottlenecks, and develop streamlined processes that aid employee efficiency.
• Exceptional organizational, time management, and follow-up skills; must have a meticulous attention to detail.
• Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a proven aptitude for quickly learning new systems and software.
• Excellent interpersonal and communication skills (written and verbal) with the ability to interact professionally with staff, management, clients, and the public.
• Self-motivated, proactive, and capable of working independently to achieve goals.
