This is a Full Time Job
Office hours - 10 AM to 7 PM PST / lunch 1PM to 2PM - Monday through Friday - there are duties evenings and weekends and they are usually handled by interns - the Theatrical Assistant is ultimately responsible for the entire area though, ensuring everything gets done, in coordination with HR.
Must have at least 2 years talent agency or management company experience.
Responsibilities include, but are not limited to, general office duties, providing administrative and client support, includes reviewing material, generating and scheduling auditions as well as coordinating with clients, casting directors, managers, agents, publicists, etc. Generating self-tape audition emails for clients, confirming, receiving, getting approved and submitting to casting, agents, uploading to sites, etc. Keeping up ALL internal spreadsheets covering all auditions, client info spreadsheets, etc. Filling out paperwork for agents, invoicing, creating closing details to send to production, coordinating with accounting in relation to all bookings and information, etc. Occasional CEO support and research. Every semester - training interns, helping to run the intern area and schedules, etc.
We are a boutique management company - duties also include general office management and talent coordinator duties.
Candidate must have a real genuine interest in talent representation and a very professional attitude.
• Outstanding people and phone skills
• Experience with Breakdown Services, Actors Access, Casting Networks, Casting Frontier, Casting App
• Must be able to multi-task while keeping the big picture in mind
• Knowledge of MAC and MS Office, reel and footage apps
• Above average computer skills
• Excellent organizational skills
• A solid, committed, hard-working ethic and ability to stay calm in the fray
• Valid Driver's License and car in good working condition (optional but a +)
• Absolute punctuality
• Two year minimum requirement in this position
