The Association of Talent Agents (ATA), a non-profit trade association, is seeking an:
Executive Administrator
The Association of Talent Agents (ATA) is seeking a detail-oriented Executive Administrator and Project Manager with excellent interpersonal and communication skills to manage the day-to-day administrative tasks and various projects of the trade association. The administrator works closely with the Executive Director, members of the association, and the Board of Directors. The administrator will also be responsible for managing the collection of member dues, attending all board meetings, and preparing the official minutes of the board meetings. The administrator will work with team compliance experts related to political activities and reporting.
ATA is NOT a talent agency. Do not apply for this position if you are seeking entry into the representation business or an artist/creative position.
Duties
1. Schedule/coordinate ATA events, meetings, and seminars, including board and committee meetings.
2. Update and manage ATA website content.
3. Provide daily assistance to ATA members; respond to member inquiries and resolve issues in a timely manner.
4. Manage member dues - invoicing, processing, and all related correspondence to members.
5. Manage the office facility, including maintenance of space, office equipment, and supplies.
Skills Required
• Must possess a high degree of computer literacy using MS Office products (Excel, Word,
PowerPoint and Outlook) and the ability to learn custom computer software databases.
• Must be able to multitask, prioritize, and meet changing deadlines.
• Must be able to communicate effectively, both orally and in writing.
• Must possess outstanding organizational skills.
• Must have experience handling highly confidential and sensitive matters.
• Must be able to organize and maintain filing systems.
• Must be able to plan, schedule, and coordinate multiple complex calendars for meetings, events, and conference calls.
• Project management

Experience Required
This position requires a bachelor's degree or equivalent combination of education and experience. Solid experience as an administrator/high level support position; in the entertainment industry a plus. The ideal candidate must be a self-starter with the ability to manage projects independently.
