ArtClass is a team of directors, producers, editors, writers, and designers. We are a small production company that creates work ranging from commercials, to series, to films across offices in NY, LA and Kansas City.
We are looking for an experienced Office PA for our busy LA Production team, who has a genuine passion for being a part of our mission. This position is located in El Segundo, Los Angeles and will be hybrid in office, on-set and sometimes remote. This role is fully production oriented and is only suited for someone who has a desire to be a producer who loves logistics, the small details, planning, communication, and even paperwork. Flexible work schedule may be required, including some nights, weekends, and/or holidays.
In this role you will:
- Track all incoming new project leads
- Create new job folders for job leads & pitches
- Be the quick-to-react point of contact for scheduling meetings with agency and client on behalf of the production team
- Roll calls for Executive Producer
- Take notes on creative and pre-production calls
- Coordinate travel and itineraries for EPs, Directors and senior staff members
- Coordinate & hire freelance treatment teams, scheduling kick-off calls and juggling multiple requests for the same resources
- Schedule Director & Agency briefing calls with zoom links and the corresponding attendees and documentation
- File Expense Reports for related productions & senior team members, gather and organize receipts, and submit and follow up on approvals in a timely manner
- Coordinate purchases, assembly and delivery for client and agency gifts
- Executive office administrative tasks including office upkeep (trash sweeps and dishes), merch restocking, lunch orders, kitchen restocks, office supply ordering & organizing, and shipping, and runs.
- Anticipate needs and provide additional administrative support as needed
Some prior production experience would be helpful to assist the production teams with:
- Update and keep the company directory current
- Draft outreach emails to crew to check availability and to confirm rates
- Source and book vendors for shoot locations, catering, and production supplies
- Compile crew holds, draft call sheets and schedules
We are excited about you because you are:
- An experienced office assistant with a minimum of 1-2 years of experience at an agency, management, or entertainment company (commercial production/advertising agency experience is a plus!)
- Office PA or on-set production experience preferred.
- You have an interest in a career in commercial production and advertising
- Self-directed, discreet, highly organized and able to balance competing priorities
- Keen attention to detail, ability to spell-check and edit documents before sending, strong conflict-resolution, and decision-making skills
- Able to work diligently and with a sense of urgency, in a fast-paced environment
- You aren't afraid to pick up the phone to track down an answer
- Excellent and concise communicator with a charismatic personality
- Hard skills that will go a long way: Google Suite (especially Google Calendar and Google Drive), Simian, Slack, Zoom, and Adobe Suite (especially InDesign).
