Full Time Job
Responsibilities:
• Manage MD's daily schedule
• Create daily call and meeting lists
• Schedule and coordinate meetings. Ensure that the MD has an accurate calendar and is aware of meetings that they need to attend.
• Prepare necessary documents for meetings.
• Answer, screen and roll phone calls. Create and update a daily phone and to-do lists
• Flag important emails and correspondences for MD.
• Attend and take notes at meetings as requested
• Scripts /Books coverage, Log Line writing and submission letters when needed
• Prepare expense reports in a timely and accurate manner for MD's approval and Accounting submission
• Organize travel arrangements such as flights, hotels, and car services.
• Provide additional administrative and creative support as designated.
• Liaising with visual presentation/treatment teams, coordinate timing and negotiate rates
• Proofread documents and presentations and assist with In Design layouts when necessary
• Liaise with internal team
• Hold crew availabilities as needed
• Creating and managing internal databases
• Oversee and update calendars of jobs for internal team and sales team visibility
• Manage receipt of master for all projects and coordinate with the Vault to upload on our wire drive
• Share new work immediately upon release with sales team and PR
• Assist with personal matters and/or running errands when needed
Qualifications:
• Exceptional communication and interpersonal skills.
• Outstanding organizational skills with understanding of priorities.
• Must possess ability to problem solve in a fast and resourceful manner.
• Proactive approach to work, patience and willingness to take initiative when appropriate.
• Must be able to multi-task in a fast-paced environment.
• Able to work independently and also be comfortable interacting with employees at all levels of the organization and external company contacts.
Desired Characteristics:
• 1+ years' experience, preferably in a production, entertainment or creative environment, degree in Film or T.V., or extreme interest in production
