How do I hire an Office Manager & Assistant to Co-President? About the position:
As a full-time member of the Operations Team, the Office Manager & Assistant will support the Co-President (and the company at large) specifically in administrative tasks as the Co-President begins to shift his focus exclusively to operational affairs and business development. The scope of the position includes, but isn't limited to, office upkeep, expenses and billing, vendor relationships, phones, reception, general organization and managing the company's online presence. This position requires the ability to adapt quickly, think on your feet, and wear many different hats.
The ideal candidate will be self-motivated, thoughtful, flexible, and able to juggle multiple and diverse responsibilities in a fast-paced environment. We're looking for a team member who will maintain unwavering attention to detail and a can-do, no-job-is-too-small attitude at all times. To succeed in this role, the candidate should possess an insatiable curiosity and the humility to ask questions. This is a demanding position that requires someone who is able to exercise good judgment and significant initiative.
Responsibilities as Office Manager:
- Manage the office phone line: serve as a receptionist for the company, transfer calls, and relay voicemails left overnight.
- Greet visitors to the office.
- Manage the general organization of the office and the stocking of supplies.
- Act as the main point of contact between Animal Kingdom and its landlord (1000 Dean
Street).
- Retain and interface with a regular third-party cleaning service.
- Organize company-wide travel arrangements & help to plan festival logistics.
- Organize and manage the employee expenses accounting system. Submit report to COO
on a monthly basis.
- Oversee, enhance, and continually update the company's digital footprint (website,
Wikipedia, etc.)
- Collect and disperse mail, take out trash, keep a pot of coffee on, etc.
Responsibilities as Assistant to Co-President:
- Maintain calendar for the Co-President, including day-to-day and long-term management of meetings, projects, and priorities. Communicate important details to relevant parties.
- Maintain phone sheet for Co-President. Ensure that calls are both properly prioritized and returned promptly.
- Serve as a point of contact for a wide variety of high-level relationships between outside industry professionals and the Co-President.
- Draft miscellaneous correspondence on the Co-President's behalf.
- Assist the Co-President with time management- work to maximize the number of
productive hours in any one day.
- Additional support (as needed) when the Co-President is traveling.
Qualifications:
- Interest in and desire to learn how to manage operations of a small business.
- Extraordinary organizational skills and superlative attention to detail.
- Meticulous written, verbal, and presentational skills.
- 4-year degree with strong academic performance.
